Employers can create departments

Super users can now create departments and assign users to a department. Users will also be able to assign job listings to a department. Employers can view tasks for each department from the drop-down list on their dashboard and in each section.

This means that employers can manage their workload across their organisation easier.

Dashboard enhancements

Enhancements have been made to the following dashboards:

  • approvals section displays users who still need to approve a job listing
  • shortlisting section shows users who still need to score an application
  • interviews section lists the number of applicants invited, accepted and declined

This means that users have a better overview of each stage of a job listing.

Organisation name in Notify emails

The organisation name now shows in the automated Notify emails. This means that users working with many organisations will know which job listing and organisation the email is referring to.

Bespoke offer letter templates

Super users and recruitment administrators can now create their own offer letter templates in the service.

The templates include basic terms taken from the job and applicant records. Employers can add more of their own terms to inform the applicant about their job offer. Employers can also add their own organisational terms and conditions to the template.

The offer letter is then sent to the applicant via NHS Jobs in the ready to offer stage. This gives employers better control on the information provided to applicants at the offer stage.

Communication preferences for applicants

Applicants can now set their communications preferences for each application.

They will be able to choose how they receive updates on applications. Their options are:

  • email
  • email and telephone
  • email, text message and telephone

Withdraw an application

Applicants can now withdraw a submitted application from their job applications page.

Applicants can withdraw their application from these recruitment stages:

  • application submitted
  • invited to interview
  • interview confirmed
  • interview declined

Applicants will receive an email to confirm they have withdrawn their application.

The recruiting manager for the job will also receive an email notifying them about the withdrawn application.

Continuous improvements

Employers will no longer see applicants who have withdrawn their application in search results.

When creating a job listing, the ‘What’s the contract duration?' question is now on a separate page. Users will only see this page if they select a contract type that isn’t permanent.

Employers can now use the search function for job listings in these approval stages:

  • ready to approve
  • approval rejected
  • ready to reapprove
  • ready to publish
  • recruitment withdrawn

We’ve updated the wording in the ‘Tier 2 Certificate of Sponsorship’ section due to new legislation. This paragraph shows on a job advert if the vacancy is open to applicants outside of the EU and Switzerland, Norway, Iceland and Liechtenstein.
