Job summary

30 hours per week (negotiable)

To support the PCN administrative team in general administrative duties and ongoing projects for the PCN.

To support the PCN team in general administrative duties, including some financial administration and supporting new and ongoing projects for the PCN to a high standard.

To be responsible for the efficient support of PCN administrative team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the PCN.

Job description

Job responsibilities

The following are the core responsibilities of the Project Support Co-Ordinator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The Project Support Co-Ordinator is responsible for:

a. Supporting the Care Co-ordinators and PCN team in the day-to-day operations of the PCN.

b. Supporting the Care Co-ordinators and PCN in the implementation, monitoring and development of PCN projects.

c. To act as first point of contact for queries as they come, looking out for trends across the practices.

d. To support the team rota ensuring each practice gets its fair share of allocated time.

e. Initiate contact with and respond to requests from patients, practices, team members and external agencies.

f. To manage timely comms between the team members and the 5 PCN Practices

g. To keep abreast of what is going on locally/nationally (e.g. PCQS, DES, QOF).

h. Responding and resolving local IT issues where appropriate

i. Ensuring the clinical session structure is effective, meets the needs of the patients and clinicians have access to suitable rooms.

j. Maintain a clean, tidy, effective working area at all times.

k. Organising of equipment, such as laptops if required

l. Setting up of new IT accounts

m. Assisting in coordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences.

n. Assist in updating the appointment system to reflect leave and other approved absences.

o. Deputise for the Care Coordinators during periods of absence.

p. Partake in audit as directed by the management.

q. Coordinate and produce meeting agendas and record the minutes of meetings.

r. Support the PCN team in the maintenance of the PCN website/social media accounts/newsletters.

s. Manage day to day service function as instructed by the Care Co-ordinators or Operational Management team.

t. Undertake all mandatory training and induction programmes.

u. Attend a formal appraisal with their manager at least every 12 months.
