Job summary

Groups of GP Practices in City and Hackney have come together to form 8 Primary Care Networks (PCNs), each covering a total population of between 30,000-50,000. The purpose of these PCNs is to enable GP practices to work together in a collaborative way to develop and deliver network-based services that respond to the needs of local people. To support some of this work an 'Office of PCNs' has subsequently been established.

City and Hackney Office of PCNs are seeking a motivated, experienced and proactive Administrator to support the PCN Programme Director and PCN Contracts Manager in the daily running of the Programme Management Office.

Main duties of the job

The post holder will provide general administrative support to the Office of the PCNs and will undertake a range of administrative duties to assist in the smooth running of the office.

The post holder will need to be organised, with an ability to organise meetings, take minutes at meetings, maintain effective records, provide administrative support to Programme Director and other key staff associated with the Office, and liaise effectively with a range of staff, including GP practice staff. The post holder will need to have excellent interpersonal and communication skills, and possess good computer skills.

The post holder will be employed by City and Hackney GP Confederation which is the host organisation that has been selected by the 8 Primary Care Networks in City and Hackney to provide support and hold the funding for the networks.

Job responsibilities

Key Responsibilities:

1. To carry out the day-to-day administrative duties required by the PCN Office and Programme Director, including typing letters and documents, emails, photocopying, organising diaries, telephone management etc.

2. To arrange and support any regular meetings of the Programme Director and PCN Clinical Directors or other meetings of the Programme Director. This will involve organising meetings, agenda preparation, and taking minutes.

3. To act as a focal point of communication between the Programme Office, the Clinical Directors, PCN Member Practices, and other key partners working.

4. To monitor the Office of the PCNs generic email address on a regular basis each day, to respond speedily to as many queries as possible and to flag those that need further input speedily so that these get a response as soon as possilble.

5. To contribute to the submission of appropriate returns and reports as required by the Programme Director.

6. To arrange and attend meetings as required by the Programme Director.

7. To enter data and file documents on the PCN section of the Confederations central electronic filing system.

8. To undertake administrative duties relating to specific PCN projects as required by the Programme Director.

  • Minimum of 5 GCSEs including Maths and English (A);

Experience

  • Experience of organising meetings and minute-taking
