Job summary
The ideal candidate will work as part of the administrative team under the guidance of the Practice Manager, providing comprehensive administrative support to the Practice.
Main duties of the job
The candidate will summarise and Read Code patient records into the Practices computer system to a high standard and in accordance with the Practices protocol. They will scan documents onto patients record using the Electronic health care system (EMIS).

Job responsibilities
Medical Record Summarising:
- To maintain an accurate medical summary of patient notes on the computer record.
- Summarising new patient records to a high standard and according to set protocols and timescales agreed by the Practice.
- Checking and ensuring the integrity of electronically received records from other GP Practices.
- Restructuring existing computerised records.
- Maintaining structure in the computerised record when recording new information.
- Ensuring that information from letters and other notifications received are coded onto the clinical computer system accurately and in a timely fashion.
- Assisting GPs with queries related to medical records.
- Supporting colleagues within the administration team with other duties as appropriate and required.
- To record sensitive information e.g. HIV status, child protection register.
- Scanning and matching of patient related documentation and attaching scanned documents to patients healthcare records followed by proper read code where applicable.
General Administration
- To take and process telephone calls in an appropriate manner which will involve contact with patients, carers and health professionals.
- Filing and retrieving paperwork as necessary.
- Photocopying paperwork / patient notes as required.
- QOF and recall patients for their reviews.
General Practice
- Ensure the Practices ongoing compliance with the CQCs (Care Quality Commission) essential standards of quality and safety.
- Take an active part in the appraisal process.
- Comply with all relevant Health and Safety regulations and assist the practice in the implementation of its own Health and Safety Policy.
- Comply with and actively promote the Practices Equality and Diversity Policy.
- Support sustainability practices and recognise the shared responsibility of carrying out duties in a resource efficient way.
- Undertake any other duties as appropriate.
- Communication effectively with other team members, patients and carers.
Educational Responsibilities
- Ensure an up to date knowledge of practice policy and procedures relating to this post.
- Attend relevant training courses as requested by the management team.
- Participate in the training and induction of any new or existing staff.
- Participate in further personal or practice development of I.T.
Personal Responsibilities
- Observe confidentiality at all times.
- Present and conduct yourself in a professional manner at all times.
- Wear the required uniform/business dress.
- Attend any practice meetings thought to be appropriate.
