Job summary

gtd healthcare is one of the largest NHS commissioned Primary and Urgent care providers in North West England. Based in Denton, Manchester, we have an excellent and exciting opportunity for an Lead Coordinator to join our growing academy team.

gtd academy is a virtual training and learning hub within gtd healthcare, with its primary aim being to act as the centre of all internal learning and development activity. The academy helps to ensure that gtd healthcare has a competent, skilled workforce by coordinating the design, delivery, organisation and accompanying processes for training and associated activities.

The role is responsible for providing coordination of gtd academy activities and supporting the academy team. The Lead Coordinator will contribute to providing a high-quality training service both internally, to our employees and managers, but also to our external contacts and customers.

Main duties of the job

  • Coordinate the annual review of the mandatory training modules and matrix by role and ensure changes are actioned/communicated.
  • Ensure that internal training needs are met by sourcing relevant external training providers / courses, liaising with external contacts and developing bespoke packages, where required.
  • Review external training courses to ensure quality standards are met and the aims meet the needs of internal training requirements.
  • Assess completed training sessions on a regular basis, including staff attendance, evaluation forms and other feedback, to make recommendations for how to develop/improve moving forward.
  • Regular attendance at academy-related meetings, for example learning and development forum, academy steering group, project meetings, etc.
  • Coordinate the organisational training needs analysis, including working with dedicated groups to identify and prioritise training needs, provide updates to the learning and development forum and other groups as required, and support with actions required as a result.
  • Assist with the development, training, implementation and maintenance of academy policies and procedures.
  • Supervising the work of the academy team, ensuring work is carried out on time and being a point of escalation for queries.
  • Ensure various forums are coordinated, facilitated and key information is shared with the wider organisation.

Job description

Job responsibilities

Key duties and responsibilities include:

  • Positively promote the academy and reflect its vision.
  • Ensure all queries coming to the generic inboxes are responded to in a timely manner.
  • Coordinate the annual review of the mandatory training modules and matrix by role and ensure changes are actioned/communicated.
  • Act as the team systems expert for the academy learning management system, and others as may become used. This includes:
  1. Ensuring the eLearning platform user profiles are maintained as per the agreed mandatory training matrix, including administrative system changes where required.
  2. Liaising with our eLearning provider to raise system queries, ensure changes to the system are developed/actioned and the contract is renewed as per expiry dates, etc.
  3. Support the business with making changes to the eLearning platform as may be required e.g. new functionality, change in how the system is used.
  4. Lead on generating relevant reporting (e.g. mandatory training compliance), meeting internal deadlines and responding to ad hoc requests in a timely manner.
  5. Deliver training to managers and staff on how to use the system.
  6. Create supporting documents to help managers and staff use the system, e.g. user guides, and ensure these are kept up to date.

  • Ensure monthly reports are shared with appropriate recipients within the required timeframe e.g. mandatory training and appraisal compliance, in addition to ad-hoc reports as required e.g. training attendance and progress.
  • Ensure required resources and training rooms at sites are maintained in readiness to deliver training.
  • Support facilitation of training sessions i.e. room set up, assist with activities, handout resources, technical support e.g. microsoft teams breakout rooms.
  • In the absence of the academy administrator, provide corporate support for formal Academy meetings, including circulating the agenda, taking minutes, updating action lists, etc.
  • Monitoring of funding and tracking income to the academy from internal and external sources.
  • Approval of study leave requests up to the lower-level threshold.
  • Ensure the study leave policy is adhered to, i.e. training agreements and study leave application process.
  • In absence of the academy manager, lead on academy team meetings.
  • Work closely with academy team members and the corporate affairs team to contribute to/lead on and maintain academy communications, resources, communication networks and social media pages to ensure content remains current and refreshed.
