Job summary

gtd healthcare is one of the largest NHS commissioned Primary and Urgent care providers in North West England. Based in Denton, Manchester, we have an excellent and exciting opportunity for an academy Placement Facilitator to join our growing academy team.

The academy Placement Facilitator will be responsible for supporting the gtdacademy team and the wider business in organising, coordinating, and reviewing the placement of students across a variety of functions.

The successful candidate will contribute to providing a high quality training service by liaising with both internal and external customers and ensuring a positive experience with gtd healthcare and the academy.

Main duties of the job

  • Responsible for handling/responding to all queries regarding external students/placements directed to the gtd academy email inbox.
  • Support for training sessions and academy meetings, including setting up dates/times, managing the booking process/attendance list, liaising with trainers.
  • Provide administrative support to meetings related to the academy including taking minutes, circulating agendas and creating action lists.
  • Organise, produce and support the distribution of academy material relating to students and placements.
  • Support the maintenance of the Digital Apprenticeship System and monitoring use of the Apprenticeship levy.
  • Ensure regular reviews are taking place with the apprenticeship cohort and escalate any issues that may arise to the academy Manager.
  • Support the coordination and administration relating to student placements.
  • Act as the main point of contact with external providers e.g. Higher Education Institutions and Colleges, including attending meetings where appropriate.
  • Devise learner placement timetables/ programmes, supported by members of the trainee working group/ key individuals for time spent on site, including ensuring reminders are sent to key individuals, relevant paperwork is shared, etc.
  • Coordinate the completion of annual audits for placement bases across gtd healthcare.
  • Maintain the academy/finance placement tracker to support seamless and efficient receipt of funding for trainees.

Job description

Job responsibilities

  • Provide administrative support to meetings related to the academy. This will include taking minutes, circulating agendas, creating action lists, etc.
  • Organise, produce and support the distribution of academy material relating to students and placements, e.g. to individuals, on the staff intranet, via newsletter, to external contacts.
  • Support the maintenance of the Digital Apprenticeship System and monitoring use of the Apprenticeship levy.
  • Ensure regular reviews are taking place with the apprenticeship cohort and escalate any issues that may arise to the academy Manager.
  • Support the coordination and administration relating to student placements, including logging student details, ensuring receipt of relevant paperwork/information and liaising with external providers where appropriate.
  • Act as the main point of contact with external providers e.g. Higher Education Institutions and Colleges, including attending meetings where appropriate.
  • Maintenance of central database for ongoing placements and associated details.
  • Maintenance of placement calendar, both monthly and annually, including sharing these with relevant stakeholders as required.
  • Be an active member of the trainee working group and be committed to working closely with other members to strive to continuously enhance learner experience.
  • Devise learner placement timetables/programmes , supported by members of the trainee working group/key individuals for time spent on site, including ensuring reminders are sent to key individuals, relevant paperwork is shared, etc.
  • Liaise with operational teams to ensure students are attending as planned, periodic reviews take place depending on length of placement, and to obtain feedback from the student both during and after the placement.
  • Undertake 8-weekly review meetings with learners, supported by clinical leads where appropriate.
  • Create, maintain and deliver the induction for student placements, including key details and information useful for the individual.
  • Be responsible for coordinating the GP registrar cohort, and escalating issues where required, e.g., to the Academy Manager and externally. This will include maintaining current registrar details (including new intakes), organising induction and education sessions.
  • Support the maintenance of a pool of assessors and supervisors by maintaining a database of suitably trained staff and identifying where further cohorts are required to meet training delivery. Manage the administration of organising training sessions, etc. for this faculty group.
  • Create and maintain an annual calendar of internal and external trainees.
  • Coordinate the completion of annual audits for placement bases across gtdhealthcare.
