Job summary

The Pharmacy Manager will provide leadership and full and comprehensive support to the Pharmacy within the Pharmacy Division, key contracts and all personnel in the Pharmacy locality, acting as the first port of call for all non-Clinical queries and any issues which need resolving including all patient complaints.

The pharmacy manager will also be undertaking other duties in the pharmacy depending on training and registration, such as Counter Assistant, Dispensary Assistant or Pharmacy Technician.

The Pharmacy Manager is responsible for overall performance of the pharmacy team, analysing performance and providing feedback, guidance and encouragement in order to impact results, to ensure an efficient and safe pharmaceutical service is provided.

The Pharmacy Manager will have line management responsibility for all staff within the pharmacy, including the pharmacist and working closely with colleagues within IntraHealth. Manage seamlessly any conflicting priorities which arise with the duties and responsibilities of the Responsible pharmacist of the day.

The Pharmacy Manager will liaise with other Pharmacy Managers to ensure Standard Operating procedures, systems and approaches are consistent as appropriate and will take lead responsibility for certain projects.

Main duties of the job

Managing Tasks / Projects

Ensuring tasks and duties are performed within clearly defined time quality standards

Organise the provision of pharmacy services as required.

Ensure building facilities are maintained to satisfactory standards e.g. heating, lighting, cleanliness. Undertake ad hoc inspections to ensure that the premises and their grounds are maintained in accordance with agreed standards of repair and cleanliness, and take appropriate steps to ensure that these standards are met.

Order necessary supplies within the Pharmacy budget to ensure adequate provision of stationery, drugs, kitchen and toilet requirements, and supplies for consulting rooms.

Monitor standards of suppliers of services and goods, and negotiate and review any related contracts as required.

Arrange and manage pharmacy meetings.

Deal with all non-clinical queries and problems.

Obtain estimates for repairs, replacements and redecoration and submit for consideration as necessary.

Ensure that all relevant Health & Safety regulations are met in full, and that fire drill is held at predetermined intervals.

Investigate all reported accidents and work-related illnesses and record in RIDDOR record book (accident book).

Ensure that staff and visitors are aware of security and health and safety arrangements, and review these arrangements at regular intervals to ensure that they are being complied with.

To assist and ensure the delivery of all contracted additional and enhanced services including local services offered by the pharmacy, which have been commissioned by the ICBs, Public Health department and Local Health authority (or successor organisations)

Follow national and local guidance at all times, with particular regard to Medicines, ethics in Practice (MEP), current addition and Work under direction of the pharmacy Standard operating procedures (SOPs).

To effectively manage the pharmacy team to achieve all KPIs.

To comply with all legal and NHS requirements including record keeping

Maintain stocks at an appropriate level of all medication and appliances, within the pharmacy, to meet patient demands.

Ensure personal, staff, stock, cash and premise security at all times and before leaving the pharmacy.

Attend the pharmacy out of hours in the event of security alarm activation (with police presence) and take any necessary action to resecure the premises.

Report all adverse events and significant events in accordance with agreed procedures and participate in improvement activities to reduce reoccurrence.

Pharmacy Development

Monitor national, regional and local developments both NHS and general which might impact on the pharmacy and IntraHealth.

Produce proposals and business cases including, developmental projects to ensure the pharmacies optimal functioning.

Manage all such projects, and ensure management are kept informed of any required changes or problems.

The post holder will regularly analyse, interpret and present complex data and information in relation to organisation business activities and plans.

Work with key members of staff and teams within pharmacy, CCG and other organisations to identify opportunities to develop local commissioning plans that will make more effective use of resources and eviler a wider range of services. Represent the practice at external meetings, where appropriate,

Manage Pharmacy Quality Scheme (PGS) and Key Performance Indicators (KPI) to meet agreed targets working jointly with the pharmacists where appropriate

Manage all enhanced services (with reference to pharmacists where necessary) ensuring service and income optimisation.

Work with clinicians to improve the design of patient pathways to access treatment.

Manage GPHC ongoing registration and that standards are exceeded.

Monitor/manage any other quality and/or financial initiatives.

Finance

Ensure that the Pharmacy financial instructions are regularly reviewed and implemented.

Will work to optimise pharmacy income, both NHS and private.

Maintain thorough familiarity with the terms of the contracts in which the Pharmacy is engaged and ensure that the implications of all amendments are understood and implemented by pharmacy members. Maintain master copies of such contracts for the organisation.

Ensure submission of any claims/audits to meet various deadlines and keep such records as to be able to check payments / authorisation.

With support from the Finance Team, ensure that all income is allocated, reconciled, received, and processed in accordance with the financial instructions.

Update and maintain pharmacy accounts in accordance with agreed requirements and timescale.

Monitor budgets and cash flow forecasts and investigate and propose methods of reducing expenditure and/or increasing income, and optimising cash flow.

Ensure that the policy on receipt of goods and stock control procedures are implemented.

Process invoices for goods and services satisfactorily received, in accordance with the terms of such invoices or agreements and pass to finance team for payment.

Arrange petty cash facility where appropriate.

Audit/Reports

Prepare pharmacy development plan, development proposals, business plans and cases and other reports as necessary.
