Rota & On-boarding Administrator

Job summary

To carry out all administrative tasks to ensure adequate support is provided to the Rota and Onboarding/Compliance team. To support the smooth running of the service delivery team ensuring all members of that team have the general administrative support required. The post holder will also provide rota/admin duties across other parts of the business as the need dictates. The Rota & Compliance Administrator will work closely with the Rota & Compliance Officer and Rota & On-boarding Manager to ensure all clinical staff working in the services are compliant and that all administrative support functions are carried out in a timely manner.

Main duties of the job

Specifically, the Rota and Compliance Administrator will:

Work closely with the on-boarding/compliance and rota team to provide adequate cover to ensure the safe delivery of services.

Ensure rota are published in advance and in timely manner. Adequate cover is available to ensure continuity of service, react proactively to last minute cancellations and find resolutions

To liaise with all clinical workforce, inclusive of GP registrars, and non clinical colleagues to facilitate shift booking.

To highlight any anticipated rota problems to the ROM at the earliest opportunity.

Finds solutions to rota and compliance issues and work closely with all members of Rota team

Attend meetings, actively engage, contribute and take active part in contacting non-compliant clinicians, promptly carrying out agreed actions

Proactively oversee annual leave booking for contracted service staff, ensuring leave is booked consistently across annual year period, preventing negative impact on rota fill.

Ensure that emails are responded to in timely manner and relevant inbox is attended to and monitored daily

Produce system report when required and provide fulfilment updates to all stakeholders, highlighting any challenges.

Organise and follow up on Inductions for trainees, clinical and non-clinical staff. Ensure site-specific training requirements is up to date and in line with all stakeholder requirements

Actively engage with new clinicians and proactively encourage up take on their shifts across all SELDOC services.

Support system upgrades and implement changes accordingly for both roster and compliance systems

Provide resilience to the rota team should anyone be off for a protracted period of time due to sickness or approved leave. This role provides an amazing opportunity for the post-holder to make a significant impact in the organisation.
