The Operational Managers are responsible for ensuring smooth and efficient operational management to the enable safe delivery of clinical services provided by Taurus Healthcare.

The Operational Managers manage operational functions across services including direct workforce line management for specific areas and work with other Operational Managers to ensure effective daily operational capability.

To ensure non clinical services have the correct workforce i.e. Receptionists and Drivers, with the right skills and sites have the staff, skills, procedures and equipment necessary for the work, and manages the Team Leaders and Drivers working during the shift.

7 Day Working: Be responsible for providing management support seven days a week, Monday – Sunday including bank holidays. Operational Managers will have a seven-day week rota which includes office based working Mon-Friday 9-5 and weekend working from service site to support peak times of operational activity. Weekend working will be proportionate to contracted hours and shared equitable amongst Operational Manager.

People Management: To support and manage teams. To recruit to vacant posts within the service areas to ensure services are properly resourced.

Main duties of the job

Main duties include

Leaderships and Management, with managerial guidance and supervision be responsible for the day to day running of operations with the wider Operational Manager team. Ensuring a system of operational process and guidance to support key functions and tasks of teams responsible to Operational Managers are in place, documented, communicated and published/available. Rota management for specific areas you are responsible for including liaising with Locum Agency’s and Locums directly.

Quality, Safety and Service Performance: Report, manage and investigate operational incidents (within the confines of outlined responsibilities) determining lessons learnt. Utilize lessons learnt from incidents and complaints to make positive improvements. Ensure patient feedback mechanisms are effectively utilized and reported across services

Financial responsibility for specific service areas: Having an understanding of the overall budget. Ensuring service rotas are delivered within a budget. Ensuring consumables expenditure is within budget. Delivery of Financial return.

Good distribution practice. Effective communication amongst Good Distribution Practice (GDP) team and management. Send timely stock orders to replenish stock. Ensure stock-holding is accurate through accurate data entry and monthly stock inventories. Receive and quality-check medicinal products delivered to site.

Ensure a robust system of audit is in place to support operational processes, reporting into operational, clinical and performance governance forums as relevant JD – Operational Manager August 2021.

Ensure teams working in service areas are supported operationally.

Ensure services hosted by another organisation have appropriate service level agreements (SLAs) and sufficient consumable supplies.

Prioritize daily activities delegating amongst the team.

To ensure systems are in place to record and report on patient and other data, ensuring good information governance and patient confidentiality.

To assist with the planning for, and delivery, of new contracted services when these are identified.

To ensure that highly effective communication is maintained across teams.

Be responsible for leading and implementing projects within the contracted services.

Have greater responsibility for specific contracts as outlined in sections below-

Deputise for the Clinical Service Manager

Be responsible for leading and implementing projects within the contracted services. 7 day working:

Carry out annual appraisals of staff which focus on corporate/operational objectives, the service, patient care, and the development needs/aspirations of the staff member.

To manage and job role train administrators working in the Operations team.

To provide operational support to teams delivering clinical services.

To provide operational support to clinical leads.

To ensure all staff that are managed by the Operations Manager are compliant with mandatory training requirements.

Develop training plans for members of staff you manage through 1:1s and appraisals JD – Operational Manager August 2022.

To ensure that staff working irregular hours/shifts are supported and feel part of the team.

To make sure that any health and safety provisions in relation to staff are adhered to.

To make sure staff have the, induction, training, equipment, support and supervision (non-clinical) necessary to do their job.
