Fixed term until March 2022
We are looking for a
dynamic Site Manager to join our friendly team, in a fixed term capacity,
leading up to a planned merger from early next year. This is a varied and
interesting position and so requires a strong operations background and
experience within a similar role. The duties within this role may vary from
day to day with frequent interruptions and so flexibility and the ability to
multi task are essential. We are a close knit, friendly and supportive team
who believe in working together to achieve our joint objectives.
Main duties of the job
As Site Manager you
will be expected to ensure the effective and efficient site management of the
practice operations including all day to day issues, ensure effective rota
management within the practice and escalating any gaps as appropriate,
supporting the HR, finance and contractual needs of the practice in
conjunction with the management team and to act as a focal point for
communication during the planned merger and between both Management Teams.

JOB PURPOSE:
- To ensure the effective and efficient site
management of the practice operations including all day to day issues
- To ensure effective rota management within the
practice and escalating any gaps as appropriate
- To support the HR, finance and contractual
needs of the practice in conjunction with the management team
- To act as a focal point for communication
during the planned merger and between both Management Teams
Main Responsibilities:
Human Resources
The post
holder will:
- Oversee the planning, co-ordination and
monitoring of staffing levels and rota management to ensure that there are
adequate resources to enable efficient and effective services for patients
and to support clinicians
- Influence staff to continually improve
services and enhance their performance requiring negotiating and diplomacy
skills to achieve change where some individuals will be resistant to
proposals
- Monitor and record all staff overtime
Practice
Organisation and Patient Services
The post
holder will:
- Work with the Management Team to identify,
co-ordinate and ensure operational processes are effective and efficient
to meet the needs of the practice
- Support the management team in the compilation
of practice reports and the practice development plan
- Investigate and respond to complaints in
conjunction with the Management Team adhering to the practice Complaints
procedures and develop systems to prevent recurring issues
- Co-ordinate the organisation of practice
meetings (including the arranging of venues, preparation of agendas,
provision of minutes, updating of action logs and ordering of
refreshments) to ensure effective outcomes including clinical review
meetings, safeguarding meetings, palliative care meetings, prescribing
review meetings, death review meetings, partnership meetings
- Develop and maintain effective communication
between functional teams
- Have a good working knowledge of relevant
areas of clinical systems and other programmes as appropriate to role
- Demonstrate a good working knowledge of the
practice policy on Information Governance
- Support the practice in any IT matters in the
administration of the clinical system and other software including
password, system and application queries
- Maintain noticeboards and ensure all patient
information is relevant and up to date
- Assist the Management Team with planning and
implementation of patient focused campaigns and surveys including the
effective delivery of various projects throughout the year including flu
vaccination programme, covid vaccination programme and other health
promotional events
Premises
Management
The post
holder will:
- Provide
site management of the practice liaising with the Management Team as
appropriate
- Ensure
the practice complies with the daily aspects of Health & Safety
processes and legislation
- Implementation
and testing of the practice emergency evacuation procedures
- Oversee
the appointment and training of fire wardens
Governance
The post
holder will:
- Ensure there is a
systematic approach to general governance at the direction of the
Management Team
- Assist the Management Team
to liaise with CQC and participate in Annual Regulatory Reviews and CQC
Inspection visits
- Assist the Management Team
to ensure the practice is compliant with all regulatory matters,
legislation and Care Quality Commission key lines of enquiry
PERSONAL DEVELOPMENT
- To attend mandatory training and
fire lectures regularly and assist with fire policy/evacuation procedure
when necessary.
- To keep up to date with and attend
training on revisions to information systems or changes in protocols for
the inputting of data in the light of Local and national initiatives. To adhere to agreed protocols at all
times.
- To participate in Individual
Performance Review and Personal Development plans on an annual basis and
to undertake training and development as identified within these discussions
and as indicated by the requirements of the post.
