Were
looking for a Project Support Administration Assistant to join Smile Together
Dental CIC, providing dedicated administrative and coordination support to our
Project Manager and wider commercial team.
This
is a fantastic opportunity to play a key role in delivering meaningful projects
that support community and routine dental services across Cornwall and the
Isles of Scilly.
As
Project Support Administration Assistant, youll provide project-specific
administrative and coordination support to the Project Manager, helping ensure
projects are well organised, well governed and delivered effectively.
Youll
be involved across the project lifecycle, supporting planning, meetings,
documentation, reporting, procurement coordination and basic financial tracking
all within a clear project support remit.
Based
at Harleigh Road Dental Centre, Bodmin, with occasional travel to other Smile
Together practice locations as required.
Main duties of the job
Key Responsibilities Include
- Providing day-to-day administrative support across multiple projects
- Organising project meetings, agendas, minutes and action tracking
- Maintaining accurate project files, trackers and documentation
- Supporting project reporting, governance, audits and inspections
- Acting as a key point of contact for project-related queries
- Supporting project procurement and liaising with the Purchasing Specialist
- Maintaining project-specific financial records and escalating issues appropriately
- Supporting safe working practices when attending Harleigh Road Dental Centre or Smile Together Locations

Job Summary
To provide dedicated, project-specific administrative and coordination support to the Project Manager, enabling the effective planning, delivery, and reporting of defined projects. The post-holder will focus on administrative and governance tasks strictly related to project work, ensuring continuity, consistency, and robustness of project documentation and processes.
The role will also provide general administrative support to the project team as required, contributing to efficient team functioning and successful project outcomes.
Key accountabilities:
Project Support
- Provide day-to-day administrative and coordination support across all stages of the project lifecycle.
- Act as a back-up to the Project Manager by maintaining project plans, trackers, risk and issue logs to ensure continuity.
- Support project planning, scheduling, meeting coordination and milestone tracking.
- Monitor progress against plans and highlight risks, issues or slippage to the Project Manager.
- Prepare draft updates, reports and briefing notes for review.
- Assist in the preparation of project documentation, reports, presentations and briefing papers.
Administration and Coordination
- Organise and service project meetings, including agendas, minute taking and action tracking.
- Maintain accurate, well-structured project files with appropriate version control.
- Coordinate routine communications and follow-up actions on behalf of the Project Manager.
- Provide direct support to the Project Manager by managing project-related procurement, liaising with the Purchasing Specialist as required, maintaining project-specific financial records, and escalating any issues or discrepancies.
Data, Reporting and Documentation
- Collect, input and maintain project data, trackers and dashboards.
- Assist with preparation of internal and external reports.
- Ensure documentation supports governance, audit and inspection requirements.
- Coordinate information requests for audits or reviews.
Communication and Stakeholder Engagement
- Act as a first point of contact for project-related queries.
- Liaise with internal teams and external stakeholders to support project delivery.
- Ensure decisions and actions are clearly recorded and followed up.
Wider Team and Service Support
- Provide flexible administrative support to the wider project team and service.
- Assist with coordination, documentation and meeting support as required.
- Undertake other duties commensurate with the role.

- Maintain confidentiality of all sensitive and personal information in line with organisational policies, GDPR and information governance requirements.
