Job summary

We are looking to employ a Clinical Services Manager to be part of the small team of Radiotherapists, Healthcare Assistants and Admin Assistants at The Thornbury Radiosurgery Centre (TRC)!

Previous experience with managing a department treating with Stereotactic Radiosurgery (SRS) would be an advantage but tailored training will be provided.

You will be expected to have knowledge of Radiotherapy, Stereotactic Radiosurgery, MRI and CT imaging, and patient care.

Gamma Knife is a highly specialised area in the world of Radiosurgery and therefore TRC actively supports tailored training opportunities at an in-house and external level.

About us

The Thornbury Radiosurgery Centre provides a Gamma Knife radiosurgery service for NHS (National Health Service) and private patients treating brain tumours and other intracranial indications. We support one of two NHS England (NHSE) National Centres of Excellence who provide specialist care and support for patients including those with rare and complex conditions. Job responsibilities

Administration and Service Delivery

· To apply for and become CQC Registered Manager after a period of training

· Be accountable for TRCL’s patient activity / treatment targets agreed with annual budget. Have full oversight of referrals, MDT, bookings, waiting times and treatment delivery

· Ensuring high quality, patient-focused clinical services delivery and be accountable for the smooth and effective running of the treatment day.

· To continually look for ways to improve the patient experience by streamlining administrative processes; OPA’s, booking and follow-up procedures.

· To proactively look for ways to improve and maximise the clinical treatment day/patient pathway

· Proactively seek resolutions to any system or Centre failures, ensuring the continued running of the Centre

· To work closely with the Head of Clinical Governance to ensure documents are maintained with clear version control to ensure best practice and effective running of the Centre

· Ensure that all staff read and understand all Centre clinical and non-clinical policies and procedures, and that records are kept

· Ensure that staff follow all Centre policies consistently (taking necessary steps to achieve this) to maintain high departmental standards at all times

· To positively promote safe working practices

· Ensure a high standard of record keeping for machine handover / QA, emergency procedure training, IRMER training etc.

· To ensure that the Quality Assurance and servicing programmes are maintained, and remedial action is taken for any adverse results or trends

· Reporting data to the Managing Director of Amethyst UK and Amethyst Group (as required)

o Patient treatment data, including cancellations

o Self-paying and Private patient waiting list / OPA data

o Referral data

o MDT data

· Lead service development initiatives, as appropriate

· Maintain individual clinical competencies, both personally, and for staff

Communication, Engagement, Involvement and Patient Experience

• Responsible for high level co-ordination and communication between Amethyst UK Senior Management Team to support and arrange clinical service meetings, where required.

• Responsible for developing and maintaining good working relationships with Treating Consultants, Medical Physics and the local Trust and Circle Health Group.

• To maintain effective inter-departmental liaisons to achieve optimum levels of patient care, and to encourage and develop good working relationships within the wider hospital setting.

• To support the improvement of communication between staff, patients and relatives, developing and maintaining standard operating procedures and local policies to improve the patient experience

• Investigate, manage and report patient complaints in line with TRCL’s Complaints Policy

• To work closely with the Head of Clinical Governance to make best use of data received from completed audits, risk assessments, patient questionnaires and complaints, implementing changes where development opportunities and service improvements can be made.

Resource management

• Responsible for TRCL staff:

o Recruitment, with assistance from the Amethyst UK Business Management Lead, of all clinical and non-clinical staff, including (but not limited to) interviewing, issuing offers of employment, carrying out DBS (Disclosure Barring Scheme) checks, checking ID, Professional qualifiactions and references, and maintaining records

o Individually apply for, and ensure all TRCL staff, complete UCLH honorary contracts to support our sister centre, Queen Square Radiosurgery Centre Ltd.

o Maintain staff Honorary contracts and renew in a timely fashion.

o Ensure all staff, new recruits, and Honorary Contract individuals complete DBS checks, and are renewed in accordance with TRCL policy

o Ensure staff complete the appropriate TRCL training programme, have been signed off by the relevent Entitled individual and maintain records/training, as directed.

o Ensure all staff have up-to-date mandatory, IRMER and emergency procedures training and maintain records

o Managing sickness and absences

o Managing annual leave requests

o Managing and carrying out annual appraisals for all clinical and non-clinical staff

o Ensure all employees, clinical and non-clinical, have access to required IT software and systems required for them to carry out their role

• Responsible for all TRCL Consultants and Medical Physics:

o Arranging ID checks and the completion of all DBS (Disclosure Barring Scheme) checks and the data collection of the checks

o Ensure staff have the appropriate professional registration

o Support application process for Admitting Rights for consultants to Circle Health/BMI Thornbury, and renew in a timely fashion, when required.

o Ensure Consultants/Contractors complete the appropriate TRCL training programme and have been signed off by the relevent Entitled individual and maintain records

o Ensure that all competancies have been maintained and the Entitlement matrix approved by the relevant Entitled individual

o Ensure all relevant Practicing Privileges have been issued

o Ensure that all Consultant/Contractors have relevant medical indemnity insurance

o Ensure that all staff attend mandatory training updates e.g. IRMER training, GDPR training and emergency procedure training

• Appoint appropriate RPS and ensure they have adequate training and updates, where required

• Ensure the RPS is adequately supported to carry out their role

• Overall management responsibility for all clinical and non-clinical staff
