Job summary

We are looking for an enthusiastic, very well organised administrator looking to join our well established team.

The successful candidate will be responsible for undertaking a wide range of administrative duties and general support to the Local Training Hub & wider Greater Manchester Training Hub Team (GMTH).

Main duties of the job

The successful candidate will be responsible for a wide range of administration tasks, no two days are the same and you will need to be flexible and adaptable.

About us

The Greater Manchester Training Hub aims to raise the profile of general practice through engagement, education, experience and expansion. GM Training Hub is a collaboration of four local training hubs, providing support for general practice around workforce development and retention.

This is an exciting opportunity for an organised administrator to join the Greater Manchester Training Hub (GMTH) team to deliver on and support our range of services offered across Greater Manchester.

You will be a highly motivated self-starter, with strong interpersonal skills and who enjoys working as part of a team. The role is part time, 30 hours per week and is based in our Wigan Offices.

To be responsible for undertaking a wide range of administrative duties and general support to the Local Training Hub & wider Greater Manchester Training Hub Team (GMTH).

Have the ability to prioritise and demonstrate first-rate time-management skills

Must be an excellent organiser and have the capacity to manage and co-ordinate your own workload as well as the workload of other staff members with the capacity to meet deadlines and achieve a high benchmark of working

Work on own initiative recognising future workload priorities and applying action plans to ensure that they are accomplished

Excellent level of administration skills

Must have the ability to be flexible and work as part of a team

Display excellent communication skills with the capacity to deal with all levels of staff, colleagues and the general public in a diplomatic, approachable and forthcoming manner

Ability to adapt new ways of working and undertake training as appropriate

Must be able to work in a confidential manner to the highest degree

  • Responsible for co-ordinating meetings, this may include booking venues, sending out invites, setting agendas and accompany members of GMTH to meetings as required to take minutes

  • To recognise the need to, and be responsible for, referring enquiries outside sphere of knowledge to the correct team member.

  • Responsible for checking and updating the electronic database used across the GMTH.

  • Act as a first point of contact for student placements

  • Responsible for the collection of data and to provide accurate and timely information with regard to meetings held and outcomes as required.

  • Maintain an active database of placement areas, co-ordinating the up dating of audit documentation and ensuring reports are received in a timely fashion.

  • To attend mandatory training as required.

  • Assist in the production of training materials and training packs to support training programs

  • Evidence of working on own initiative
  • Previous Secretarial skills, i.e. word processing, shorthand or audio typing.

Desirable

  • Working within the health service

  • Excellent interpersonal skills, i.e. approachable and able to deal with a variety of people in a pleasant and diplomatic manner at all times.
