Job summary
As an Executive Assistant, the post holder will work as part of a dynamic team to deliver an effective service supporting managers and staff across the Medical Directorate Private Office.
The National Medical Director's (NMD) Private Office supports the National Medical Director in the oversight and delivery of the Medical Directorate's priorities, as well as ensuring that the National Medical Director's key objectives are delivered.
The Private Office also builds and maintains strong relationships with all teams across the Medical Directorate and other Directorates across NHS England, senior management teams, Regional Medical Directors and their teams, clinical fellows, National Clinical Directors and National Specialty Advisors, as well as other key external partners and stakeholders such as governmentdepartments, agencies and public bodies and Medical Royal Colleges.
The Medical Directorate is responsible for:
- Quality and outcomes leadership across primary, community, acute care and mental health
- Patient safety
- Professional and system wide clinical leadership
- Support delivery of the Long Term Plan priorities for improving patient care, prevention and long term conditions
- Clinical input on provider support
Main duties of the job
- Provide proactive diary management to the NMD including scheduling meetings, preparing meeting paperwork, booking travel and accommodation and forward planning.
- Provide diary management to Chief of Staff of the NMD, effectively coordinating across diaries and teams
- Provide day to day secretarial, administrative and organisational support to the MND and Private Office
- Manage full or part of the NMD's inbox, ensuring timely and comprehensive responses to emails and correspondence
- Handle a range of issues with discretion
- Organise and prioritise workload while working collaboratively and independently
- Be a highly organised, systematic and adaptable individual who can work to tight timescales while remaining reliable under pressure
- Possess excellent written and verbal communication skills, with the ability to liaise and negotiate with colleagues internal and external to NHSE.
- Support colleagues to ensure that the portfolio of tasks/projects is planned, managed and delivered effectively
- Support and inform the monitoring of spends, implementation and evaluation of tasks/projects and stakeholder management
- Ensure accurate and open communication and co-ordination with a range of organisations and individuals ensuring the management of specific tasks
- Be a key member of the team as well as supporting effective communication and stakeholder management, both internally and externally

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.
Staff recruited from outside the NHS will usually be appointed at the bottom of the pay band.
