Job summary
Clinical Senates are a source of independent advice and guidance to healthcare trusts, Integrated Care Systems (ICSs) and Integrated Care Boards (ICBs), and other stakeholders, to assist them to make the best decisions about healthcare for the populations they represent.
The successful applicant will have the opportunity to take part in all the key administrative activities from co-ordinating diaries, managing appointments, organising meetings and events, and taking meeting minutes and raising requisitions and working on the finance system. It is a great opportunity to rapidly learn a wide breadth of skills and gain valuable experience in providing an efficient and high-quality administration service. The team are very externally facing so regular professional and effective communication with health and care colleagues across the Midlands is essential with the role providing a lot of exposure to different areas of the NHS for the post holder.
Working as part of a small team you will have responsibility for providing support across the team and be proficient in effectively moving between tasks. In return, you will be supported and nurtured to develop in your role within a small team that has significant impact.
The post will be full time. It will be part working remotely from home and part office-based/in person meetings. Some travel throughout the East Midlands and West Midlands will be required to attend meetings and events.
Main duties of the job
- The preparation of agendas and minutes, taking appropriate follow-up action as required
- Supporting the team with the management of clinical reviews and other pieces of work
- Maintaining the membership database, relevant documents and policies, with support from the Senates Programme Support Officer
- Supporting the Senate Council meetings, including scheduling, preparation of papers and minute taking, with support from the Head of Clinical Senates
- Raising finance requisitions and recording on the budget sheet
- Collating material and articles for the stakeholder newsletters and website, with support from the Senates Programme Support Officer
- Supporting events management, specifically, the annual Assembly event and any Senate Council development sessions
- Providing diary management support to the Head of Clinical Senates and the Senate Chairs and Vice Chairs in relation to Senate business
- Shared responsibility for a generic email mailbox
- Providing administrative support to the Clinical Senate Leadership Fellows and their programmes of work
- Professionally dealing with all Senate members, stakeholders, and internal colleagues, both in person and in writing
- To be able to occasionally work in the evenings (on average one evening every two months) in order to support the Senate Council meetings

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.
Staff recruited from outside the NHS will usually be appointed at the bottom of the pay band.
