Job summary

The Midlands Region Safeguarding Team are seeking to recruit an individual to provide administrative support on a full-time basis, for 37.5 hours per week.

Main duties of the job

The post holder will have previous comprehensive administrative experience and the ability to work with people at all levels, together with excellent organisational and communication skills, both verbal and written. The post holder should have the ability to use their own initiative but also be team orientated and have a flexible approach to work, covering for colleagues where possible in their absence.

Colleagues with a contractual office base are expected to spend, on average, at least 40% of their time working in-person.

Job responsibilities

Your principle role will be to provide a skilled and full range of administrative duties, in support of the safeguarding teams workstreams and function including:

  • Supporting the team with the administration of delivering the key safeguarding workstreams and other associated work.
  • Maintaining the membership databases, relevant documents, and policies, with support from the team.
  • Supporting the effective administration of meetings, including scheduling, preparation of papers, minute taking, and following up on actions with support from the Safeguarding Coordinator.
  • Raising finance requisitions and maintaining the budget spreadsheet.
  • Collating resources and articles for the stakeholder newsletters and website, with support from the relevant members of the safeguarding team.
  • Supporting events and development sessions.
  • Providing diary management support to the Assistant Director for Safeguarding/ Regional Safeguarding Lead.
  • Shared responsibility for a generic email mailbox managing incoming tasks and prioritising tasks depending on their deadline.
  • Communicating professionally with all members, stakeholders, and internal colleagues, both in person, on the telephone, and in writing.
  • Must have proficient experience of using Microsoft packages: Word, Excel and PowerPoint.

  • Demonstrable experience in dealing with the public and dealing with sensitive and confidential information
  • Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access.
  • Understanding of Confidentiality and Data Protection Act
