Job summary

We are looking for a highly motivated individual with a professional and welcoming manner to fulfil the role of a Band 6 Programme Support Co-ordinator as part of the busy Foundation Training directorate, known as the Northern Foundation School, which is an integral part of the Workforce, Training & Education function at NHSE North East and North Cumbria.

The ideal candidate will have demonstrable experience of working in a senior administrative role; specialist knowledge across a range of work procedures and practices related to medical education and training and learner support as well as experience of medical recruitment to a formal training programme using a range of IT such as Oriel and QPERCOM.

The ideal candidate will have operational management of recruitment to approx. 500 x 2-year Foundation Programmes in accordance the national timeline established by the UK Foundation Programme Office (UKFPO), be line manager for the Foundation Directorate administrative team and day-to-day management of workstreams related to programme expansion, oversubscription, pre-allocation, withdrawals and the formal Intra and Inter Foundation School Transfer process.

Main duties of the job

Main duties of the job will also include maintaining accurate data, systems and processes to facilitate effective quality management of foundation training at a regional level.

Act as a TIS Champion for the Foundation Directorate and ensure trainee, programme and post information is up to date on Trainee Information System (TIS).

To ensure trainee, programme and post information is recorded accurately on Horus ePortfolio to inform ARCP processes, Provisional Registration (including extensions) and the submission of Certificates of Experience for GMC Full Registration.

Collection and analysis of recruitment data to inform the production of reports for local, regional and national level use for the purposes of workforce planning and investment (METIP).

Oversight of the Doctors with Differing Needs (DWDN) referral process to ensure timely management of referrals and communication of support requested from Foundation Programme Directors.

To maintain up-to-date records of trainee progression and be responsible for processing all applications to work Less than Full Time during training and for Time out of Foundation Programme.

To provide clear and comprehensive advice about the extensive network of support available for F1 and F2 postgraduate doctors in training.

To interpret national policy and guidance using significant discretion, and then create and maintain Standard Operating Processes (SOPs) for the School and for collaborative working with stakeholders.

  • The Foundation directorate operates a hybrid working pattern with two days per week minimum working from the local office based at Stella House in Newcastle to facilitate face-to-face School Operational meetings and collaborative working. The postholder will also be required to attend regular local, regional and national meetings and events in person including quality management visits. A willingness to travel is therefore also an essential requirement of this role.
