Job summary

To provide support to the Head of Facilities as part of the Facilities Management Team to provide high quality, cost effective, customer focused Facilities services through efficient management practices.

To have direct responsibility for the day-to-day management of the portering and transport service.

To monitor and support the delivery of the service and ensure that all areas with your remit are operating in line with agreed service level agreements and associated KPI's. Ensuring a safe and compliant service is provided following statutory requirements including, Risk Management and Health and Safety.

Responsible for delegated budgets maintaining effective controls on income and spend.

Provide specialist operational knowledge on service within remit, identifying service and performance improvements.

Report and escalate issues as required to the Security Healthcare Services Manager .

Main duties of the job

To develop and motivate staff in order that they can meet the needs of the service and any anticipated future requirements.

Service areas in remit include, general inhouse portering, waste transportation/ transfer, mail and postage, small vehicle fleet supporting courier and transportation services

To ensure we meet all legislative requirements, specifically: Road Transport; Health & Safety Legislation and any other legislation pertaining to the role.

To constantly review services to ensure productivity and efficiency is maintained within agreed targets.

To effectively communicate with team members, supervisors, and peers.

Job description

Job responsibilities

  • Attend regular staff meetings to engage staff in processes, changes to work practices.
  • Maintain close liaison with service users in meeting their needs to maintain the effectiveness of service provision e.g. patients and staff, Clinical Services.
  • Liaise with Infection Prevention Department ensuring that procedures which provide the highest standards of Infection Control are in place.
  • Initiate and maintain effective mechanisms for the dissemination and receipt of information.
  • Investigate any complaints and respond within laid down timescales.
  • Manage disputes, carry out staff absence and performance meetings and communicate difficult decisions with staff e.g. moving them from an area of work, changing shift patterns.
  • Make best use of resources both equipment and staffing to ensure a cost effective and efficient service that meets the needs of Harrogate Integrated Facilities customers requirements.
  • To facilitate departmental meetings regularly, ensuring mutual adherence to established service and to establish future needs.
  • Innovate new approaches to develop new business projects to meet any changes in the customers requirements.
  • Adjust staff rotas in line with the needs of the business.
  • Motivate and develop staff through individual formal and informal discussions, carrying out staffs annual appraisals.
  • To communicate effectively with the whole team to achieve the departments quality standard.
  • To be responsible for the recruitment; training, and discipline procedures of all staff to maintain the necessary levels; standards; skills, and customer care competencies for the required needs of the service.
  • Help to ensure all the services KPIs are achieved, complete the relevant documentation, and provide evidence of compliance on request.
  • Identify any risks or Health and safety issues and complete the relevant assessments and mitigation.
  • Prepare, implement, monitor and review operational procedures as required by statute or NHS guidelines appropriate to allocated Facilities services with their remit.
  • Responsible for the day-to-day management of Facilities services departments, ensuring rotas are covered and staff are present when required to meet the needs of the service.
  • Ensure conformance to all relevant policies, procedures, legislative requirements and standards e.g., CQC etc. with appropriate involvement in PLACE inspections and outcomes. To lead departmental quality meetings.
  • Be familiar with Company strategic objectives and support the production of an annual services business plan.
  • Required to be delegated budget holder for service area and maintain effective cost controls within those budgets, identify and be proactive in obtaining resources to ensure Best Value is delivered, and identify and progress all opportunities for cost improvements throughout the services provided.

  • Be responsible for managing minor disciplinary matters and disputes in line with policies.
