Secretary to Heads of Service
Location: Derby
Working Hours: 37.5 per week
Competitive salary: £26,530 - £29,114 (Band 4)
Main duties of the job
The purpose of this role is to provide secretarial and
administrative support to the Heads of Service within the NHS 111 Service,
working under the guidance of the PA to Clinical Directors.

Job responsibilities
- Provide confidential Secretarial support to the NHS 111 Heads of Service.
- Manage diaries, ensuring relevant documents are available for appointments.
- To process correspondence and ensure all mail, including the outlook mailbox, is effectively and efficiently managed in a timely manner.
- To co-ordinate queries to the most appropriate and available Senior Manager as required.
- Direct queries to appropriate senior managers and handle calls professionally.
- Capturing action points at meetings from Microsoft Teams recordings.
- Welcome and assist visitors, providing refreshments as needed.
- Maintain filing systems and assist with administrative tasks.
- Help organise external events and prepare reports, briefings, and presentations.
- To maintain appropriate secretarial filing, retrieval and record systems within the office.
- To support and assist with training new members of the team as and when required.
- Promote a safe working environment by reporting risks and incidents.

- A minimum of 2 years secretarial experience
- Strong demonstrable administrative experience
- Highly effective communication skills at all levels
- Excellent organisational skills & effective diary and time management
- GCSE English/Maths or equivalent
- Experienced and proficient user of Microsoft packages
- Able to travel to other locations when required
- Right to work in the UK
