Main duties of the job

As a Digital Administrator you will primarily be responsible for providing flexible and diverse administrative support functions to Digital Senior Management Team (SMT), including PA support on an ad hoc basis to the Digital Senior Management Team. Along with, supporting the effective operation of Digital/IT & Business Analytical functions within the business and supporting the maintaining of an effective and efficient rhythm of governance, review, and support towards Digital stakeholders.

Job description

Job responsibilities

  • Support the management of Digital Senior Management Team email and meeting requests.
  • Ensuring Digital Intranet/Internet content is kept current.
  • Ensuring that a meeting matrix is kept updated and internal/external meetings are covered off per agreed prioritisation with Digital SMT.
  • Ensuring quotes, invoicing and orders are processed in a timely manner in line.
  • Support the management of the Digital Risk register and associated updates / communication.
  • Monitor staff mandatory training and escalate for compliance against agreed policy.
  • Co-ordinate and participate in any special duties, including designated project work or tasks for the Senior Management Team as appropriate to achieve the delivery of an efficient, proactive, and high-profile administrative service.
  • Trouble-shooting procurement and financial problems, which involves liaison with customers, staff, delivery companies and suppliers to identify and resolve problems such as lost quotes, non-delivery of items, delivery of wrong or damaged items, pricing differences, non-payment of invoices.
  • To undertake any office activities for the purpose of administration contributing to an effective administrative function to the managers within the organisation including:
  • Preparation of standard documents, reports, presentations, and correspondence.
  • Co-ordinating management diaries. This involves arranging meetings, rescheduling, and cancelling as appropriate.
  • Producing minutes for meetings and capture actions resulting from the minutes.
  • Distribution of stationery and other equipment needed to staff members, ensuring adequate stock is maintained and requests for additional stock are placed with the Procurement team as required.
  • Dealing with email enquiries and using initiative in determining appropriate responses.
  • Manage room bookings, including refreshment & equipment requirements, when rooms require re-booking.

  • RSA3/NVQ 3 Office Administration or related subject or substantial equivalent experience.
  • Good working knowledge of office procedures, and requirements of administration and secretarial support.
  • Intermediate knowledge of Microsoft Office products including Word, Excel, and PowerPoint.
  • Experience of working in an Administrative/secretarial position.
  • Evidence of a good standard of Literacy/English language skills.
  • Ability to build and maintain relationships with good interpersonal skills.
  • Willingness to use technology to improve standards of care and support to our patients.
