Job summary

A vacancy has arisen for a HR Administrator to work within the 111 Human Resources Team. This is a superb opportunity for an enthusiastic, hardworking individual to progress and develop a career in HR. Reporting to the 111 HR Business Partner, the successful applicant will be proactively involved in all aspects of HR duties.

Main duties of the job

Progressing candidates through the hiring process from offer to start date, maintaining candidate contact throughout

Answering general queries in person, over the telephone and via e-mail

Dealing with clinical recruitment, both directly and through agency

Utilising the HR information system and database maintenance and management

General administrative duties including offer letter and contract documentation

Involvement in ad hoc projects

To provide a fully comprehensive, accurate and confidential administrative support to the 111 HR Team.

To assist with recruitment processes by following standard operating procedures

To take part in interviewing candidates as required

To manage the 111 HR Inbox, ensuring timely escalation to relevant HR team members

To draft adverts, job descriptions and person specifications with assistance from the 111 Head of HR/ HRBP

To place adverts internally and notify employees of such vacancies

To place adverts through appropriate routes, such as NHS Jobs

To take calls and queries from applicants

To send out application packs

To arrange interviews as required

To update spreadsheets and the NHS jobs board

To ensure the HR information system is regularly updated ensuring all new starter information and changes to existing employee information is entered in a timely fashion to meet departmental deadlines

To draft offer letters and contracts ensuring accuracy, attention to detail and professional presentation

To ensure all tasks are carried out in a timely manner

To monitor receipt of new starter information, and to provide to the IT/Payroll/Resourcing teams in a timely way

To carry out pre-employment checks, reference/ID/DBS/clinical registration for new starters ensuring compliance with company/NHS standards

To produce ID Badges and Smartcards for all new employees ensuring Verification of Identity documentation is checked

To ensure that employee files are fully complete and audited to in-house standards and in line with Data Protection Legislation/CQC and ISO requirements

To take calls and queries from managers and staff by e-mail, phone or in person in respect of general HR queries and to provide accurate, professional and timely responses

To give advice and support on HR processes, systems and policies, escalating queries where necessary

To work closely and collaboratively with other 111 HR team members providing assistance as required

To liaise with other Departments including Payroll, Resourcing and Training as required

To work on project and research tasks as prescribed by Head of HR/HRBP

To generate accurate and professionally presented general correspondence, including letters, minutes and reports

To undertake general office duties including filing, photocopying and general administration duties as required

To build professional relationships with all stakeholders of the business

Any other reasonable duties as required from time to time

Communication across DHU

Communicate with staff and management across all sites

Communicate with job applicants/ potential employees

Communicate with Senior Managers / Directors
