Job summary

Due to the continued growth of the organization, an exciting opportunity has arisen for a Payroll Administrator to become part of a small and friendly Payroll Team. You will be required to take ownership of your allocated departments, calculating and processing information relating to employees pay and absence and provide additional support across the team including project work when required. The ideal candidate will have previous experience of working with computerised payroll systems and Microsoft Office. A knowledge of MHRs iTrent solution would be an advantage.

You will be educated to GCSE or equivalent level including Grade A-C in Maths and English and a payroll qualification would also be desirable.

Previous experience within NHS or Healthcare environment would also be a benefit but is not essential.

Main duties of the job

To be successful in this role you will need to be a self-motivated individual who is comfortable working to deadlines whilst delivering a high level of accuracy and maintaining confidentiality and compliance with GDPR regulations. You will be highly numerate, process orientated and able to plan and prioritise your own workload. You will possess excellent communication and customer service skills and are able to respond to questions and queries in an appropriate manner to meet the needs of the audience.

We currently operate a hybrid working model that enables a mixture of home and office working each week with some flexibility in working times. This will be available to you once training is completed.

Job responsibilities

Job Summary

  • Responsible for processing payroll for allocated departments
  • Working as part of a team to ensure ownership of work for allocated departments
  • Process payroll in accordance with DHU Health Cares internal procedures, contract requirements and statutory obligations
  • Administer NHS and Nest Pensions for allocated departments

Payroll Processing

  • Plans own workload to ensure completion of workload for allocated departments by payroll deadlines
  • Process employee timesheets and all associated payroll information as per SLAs
  • Make accurate and authorised payments, promptly and courteously resolving any queries
  • Maintain payroll-related records including Tax, National Insurance, Pensions, Occupational and Statutory Sick and Maternity / Paternity Pay, Adoption Leave and any other relevant payments or deductions
  • Process manual calculations based on the above as required
  • Process Attachment of Earnings orders in accordance with Statutory guidelines
  • Make regular and systematic checks of permanent and temporary changes in accordance with the payroll procedures and undertake ad-hoc changes
  • Provide information as required to enable the reconciliation of the payroll control accounts and pay advances
  • Ensure payroll information is clearly explained when dealing with and ensure queries are handled courteously and confidentially within agreed departmental standards and response times.
  • Maintain confidentiality and security of information at all times
  • Identify discrepancies, unusual features or queries at any point in the payroll process and either resolve or refer for guidance
  • Ensure all documentation is filed in accordance with departmental procedures and stored material is readily retrievable to respond to queries and for audit purposes.
  • Any other duties as may be required. The duties will expand/change in line with the needs of the department

Customer Service

  • Attend meetings as required
  • Effectively liaise with Finance colleagues an all matters relating to the payroll function
  • Respond promptly and courteously to all correspondence and enquiries from individuals, statutory bodies and requests for information from appropriate organisations
  • Advise managers and staff on local and national regulations and completion of payroll documentation
  • Provide information and, if appropriate, advice on all matters related to pay, service conditions and the NHS and NEST Pension Scheme, accurately, promptly and courteously

Professional Responsibilities

  • Adhere to the relevant payroll and other statutory legislation that governs payroll processes
  • Ensure compliance with Pension Regulations
  • Provide cover during period of annual leave / sickness absence
  • Comply with all legal requirements, including the Data Protection Act 2018, General Data Protection Regulations and Freedom of Information requests
