St. Paul's Clinic is an inner-city practice in Newport. We are very inclusive of all patient needs and the most vulnerable of the community. Currently looking for an experienced administrator to help the practice manager with audits and general practice administrative duties.

Job description

Job responsibilities

Reception duties:

Answering the telephone, conveying messages and appropriate care navigation

  • Sign posting patients to relevant services locally using websites and training

  • Accepting written requests for repeat prescriptions from patients and pharmacies and acting on these requests, checking the email/my health online and prescription box for repeat prescription requests

  • Sorting the mail and post to go

  • Photocopying insurance medicals and reports, and maintaining record book and files thereof

  • Maintaining a log of telephone messages on patient records

  • Arranging transport for patients where necessary

  • Maintenance of patients' notes, including regular read coding to make sure records are accurate and up to date

  • Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge with the practice manager

  • Read coding new records when new patients register and their files are received

  • Registration of new patients and appropriate booking of new patients medicals over the age of 16 years

  • Deducting patients who have changed address or moved to another practice

  • Periodically checking the printers to make sure they are operational and have an adequate paper supply before leaving in the evening

  • Maintaining a record of daily lab tests, both outgoing and incoming, in a manner suited to the needs of the practice (downloading EDI daily)

  • Checking emails to stay on top of regular information in the practice

  • Making sure Docman is cleared by the end of the week so there are no outstanding letters waiting to be input into the patients notes

  • Attending virtual clinic and taking notes to submit to health board
