We are looking for enthusiastic, self motivated Reception Staff

Bellevue Group Practice is a busy, friendly, forward thinking Practice with 20,000 patients with a desire to deliver a first class service to our patients in which our Reception Team play a pivotal role

Flexible hours between 8.00am and 6.30pm

Part time and Full Time available

We are looking for enthusiastic and committed receptionists to expand our busy, thriving practice. We operate from 2 sites (Bellevue Surgery and Bettws Health Centre) providing high quality care to our patients.

Candidates must be computer literate and have an excellent telephone manner. Previous experience in a surgery environment and experience of EMIS computer system a distinct advantage, however full training will be given. Duties include answering the telephone, booking appointments, patient follow up for test results, generating repeat prescriptions, contacting patients for recall and action needed following hospital appointments.

This is a very challenging and rewarding post where duties are varied. Immediate start available.

You will support the team to deliver excellent Customer Service with energy and enthusiasm, encouraging constantly improving services for our Patients. You will also provide administrative support to the clinical team

We are based in the heart of Newport and work within the Aneurin Bevan University Health Board. We offer the majority of the enhanced services available. We have 20000 patients with 6 GP Partners and 8 Salaried GPs. Our Team includes Practice manager and 2 deputy managers GPSTs, medical students 2 specialist nurse practitioners (independent prescribers) 12 highly trained practice nurses (including a prescriber) Nurse led chronic disease management clinics Nurse led triage for routine appointments 1 highly trained HCA, 1 phlebotomist 3 pharmacists (and 1 health board pharmacist) 1 mental health nurse (independent prescribers) Psychological well-being practitioner for low level mental health Excellent administrative team with dedicated prescription team Our Structure EMIS Web, Docman, AccuRx Allocated duty and home visit GPs Routine clinic mix of booked F2F and telephone

REPORTS TO: PRACTICE MANAGER

Job summary:

The purpose of the role is to:

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Duties and responsibilities:

The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the head receptionist/practice manager, dependent on current and evolving practice workload and staffing levels:

  • Maintaining and monitoring the practice appointments system

  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional

  • Processing and distributing incoming (and outgoing) mail

  • Taking messages and passing on information

    Processing repeat prescriptions in accordance with practice guidelines

  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures

  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers

  • Clearing and re-stocking of consulting rooms as required

  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning

  • Ordering, re-ordering and monitoring of stationery and other supplies

  • Dealing with clinical waste

  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
