Job summary

Hourly Rate: £10.48

16 hours a week

The successful person will join our reception team to cover all aspects of the reception and telephones when there is staff absence. The successful candidate will need to be flexible towards the needs of the service, but will receive their rota 4 weeks in advance.

Main duties of the job

You will be working at both our site at Cwmbran Village Surgery and our branch at Llanyravon Surgery. The hours will be varied from week to week during our opening hours of 7.30 6.30pm, but you will be given a 4 week rota in advance. Previous Medical Reception experience is welcome but telephonist/reception experience is essential.

The successful candidate will have excellent communication skills, be professional at all times and have the flexibility to adapt to all aspects of the role. IT skills are essential and previous experience and knowledge of Vision Clinical Software would be advantageous but not essential, as full training will be given.

The ability to work under pressure when necessary is essential. This is a challenging role and the successful candidate will need to be forward thinking, able to make decisions and refer to set protocols.

About us

Cwmbran Village Surgery situated in Cwmbran, Torfaen, Wales - nestled on the Monmouthshire-Brecon Canal, just North of the city of Newport. The practice is an easy drive from Cardiff (30mins) and North Bristol (35mins), there are also excellent rail links with regular services to Newport, Cardiff and to the North. The surgery benefits from ample parking and EV charging on site.

Job description

Job responsibilities

Follow all opening and closing procedures as per protocol and Key holder Policy

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice

Deal with all general enquiries, explain procedures and make new and follow-up appointments.

Receive and distribute deliveries to the correct persons.

Book appointments and refer to all practice protocols for Triage & Care Navigation.

Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner as per practice protocols.

Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed.

Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Enter requests for home visits into the visit book, ensuring to carefully record all relevant details and referring to duty doctor where necessary.

Action prescription requests and queries and ensure that they are ready for collection

Prepare any information, stock for all surgeries and clinics held, ensuring completion of all associated paperwork.

Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.

Scanning and Filing Incoming mail within the electronic filing system

Enter patient information on to the computer as required.

Sending reminder Texts for next days appointments through the Vision+ Text Service

Maintain supplies of stationary in reception and GP rooms

Action/Reply to any electronic mail via WCCG/Email

Use AccuRx and any other software introduced to the practice as per protocol

Franking and sorting Outgoing Mail

Patient notes and correspondence:

o Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to

Promote Online Services including My Health Online

Make and serve refreshments, ensure the kitchen is kept clean and tidy and air and tidy the waiting room in turn with other staff.

Ensure that all patients requiring NHS Services are registered onto our Computer System

Preparing and sending out letters when required, including abnormal results and any correspondence requested by the partners or management.

Undertake any other additional duties appropriate to the post as requested by the partners or the practice manager.
