Job summary

The Guildhall Surgery in Clare,is seeking an experienced, enthusiastic and organised accountsadministratoron a part time basis for 10 hours per week,to provide assistance to the practice as part of a multi-professional NHS team.

Main duties of the job

You will ensure that the practice operates in a profitable and cost effective manner in keeping with the financialaspirations of the partners.

Job description

Job responsibilities

The main responsibilities of the role include:

Accounts:

  • Processing of income and expenditure information.
  • Processing timely payments to suppliers.
  • Credit control.
  • Reconciliation of bank accounts
  • Ensuring that a robust secure system is in place for managing, storing all financial information.
  • Ensuring that practice financial transactions are recorded accurately and in a timely manner.
  • Assisting theBusinessManager in monitoring and forecast cash flow.
  • Liaising with the bank regarding any queries/account changes.
  • Assisting in financial end of year processes.
  • Producing finance report for Business Manager and Partners/PCN Manager
  • Ensuring that GMS reports and Bank statements are scanned and sent to the Partner and Business Manager and the start of each month.
  • Assisting if necessary with processing of GP Drawings.
  • Dealing with correspondence in line with practice procedures including, opening post, scanning, photocopying, filing and shredding.
  • Working closely with the reports team to raise sales invoices and confirm receipt of payments.
  • Updating the travel practice sales spreadsheet and update the quarterly sales and expenditure spreadsheet.

General Administration:

  • Undertaking all work in a proactive, accurate and timely manner.
  • Informing patients of the practice complaints procedure; assist patients in completing the complaint forms (where necessary); and pass complaints on to the administrator (or other designated person) to log the complaint.
  • Recording any tasks done, by e-mail or on any other system that may be required by the practice.
  • Completing any time sheets to record work done or correct times of arrival and departure to and from work each day as appropriate.
  • Attending practice meetings - as per practice meeting schedule. This may require you to be flexible about your hours in order to enable you to regularly attend these meetings, or take minutes at the request of the Business Manager.
  • Participating in any practice development away days.
  • Registering new permanent and temporary patients to the practice via S1.
  • Checking records for access via Online Services using iGPR software.
  • Identifying patients with possible access needs and recording on the record.
  • Maintaining a tidy workspace and environment.
  • Maintaining full co-operation and communication between the doctors, nurses and other practice staff regarding all practice matters.
  • Complying with any new practice procedures for any new IT developments for the Electronic Patient Record.
  • Carrying out any reasonable management instruction in a proactive and timely manner in order to facilitate the smooth running of the practice.
