Job summary
Watton Medical Practice is looking to appoint an assistant practice manager on a full-time basis, for 37.5 hours per week.
Main duties of the job
The post-holder will support the practice operations manager in all aspects of practice
functionality, motivating and managing staff, optimising efficiency and overall
performance, ensuring the practice achieves its long-term strategic objectives
in a safe and effective working environment.
Through
innovative ways of working, support the practice operations manager in
promoting equality diversity and inclusion, quality and continuous improvement,
confidentiality, collaborative working, service delivery, learning and
development, and ensuring the practice complies with CQC regulations.

We are a busy practice within a growing south Norfolk market town, not far from the coast and the city of Norwich, that offers affordable housing, a vibrant community, and good amenities. Our building is modern, purpose-built and spacious which allows us to be able to adapt services for our ever-growing list size.
The practice is part of the Breckland Alliance PCN consisting of three practices Grove Surgery and School Lane Surgery from Thetford and Watton Medical Practice. Our GP partners are based across all three sites.

The main responsibilities of the role include:
- Supporting the practice operations manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities.
- Providing leadership and guidance to staff ensuring that they adhere to policy and procedure at all times.
- Overseeing the administrative elements of QOF; liaising with GPs, nursing staff and administrators.
- Implementing systems to ensure compliance with CQC regulations and standards.
- Reviewing and regularly updating job descriptions and person specifications, ensuring all staff are legally and gainfully employed.
- Supporting the practice operations manager with recruitment.
- Evaluating, organising and overseeing the staff induction programme.
- Overseeing an effective staff appraisal process.
- Overseeing an effective practice and staff development plan for all staff whilst maintaining a robust training record.
- Actively encouraging and promoting the use of patient online services.
- Updating and acting as the focal point for the practice website and social media sites.
- Guiding staff and developing searches and audits on SystmOne.
- Reviewing and updating clinical templates ensuring they relate to current practice.
- Guiding the team to reach QOF targets.
- Managing the significant event database, providing advice to staff and briefing the team at meetings as required.
- Identifying trends and devising solutions to reduce risk and repeated occurrences of significant events.
- Supporting the practice operations manager with ensuring all staff are aware of the management of the premises, including health and safety aspects and undertake risk assessments and mandatory training as required.
- Monitoring and disseminating information to relevant teams.
- Supporting the overall practice clinical governance framework.
- Briefing clinicians on performance levels, advising actions to ensure high achievement across all QOF areas.
- Developing, implementing and embedding the practice audit programme.
- Supporting the practice operations manager in reviewing and updating of policies and procedures.
- Supporting the practice and management team with continuous improvement and changing initiatives.
- Other responsibilities may be passed to you as deemed appropriate and necessary by the practice management team.
