Job summary

As an Engagement Support Officer, you will be responsible for building effective relationships with primary care network members, stakeholders, the primary care team and colleagues across NHS Confederation through providing administrative and engagement support

Main duties of the job

The Engagement Support Officer will play a critical role in supporting the smooth running of the NHS Confederations Primary Care Network, helping to coordinate key deliverables, products, and operations.

The postholder will be responsible for administrative support including coordinating meetings, responding to or escalating email enquiries and supporting engagement activities

The role will provide key support for Primary Care Network meetings and events including some of our member forums, liaising with members and external stakeholders.

As a key part of the team, the postholder is well supported and given opportunities to expand their learning and experience. The postholder will help manage our membership administrative data, such as through our Customer Relationship Management (CRM) tools, and support communication with members to ensure the NHS Confederation maintains and builds an excellent reputation among our members and key partners.

Job responsibilities

As an Engagement Support Officer you will:

  • manage the primary care mailbox; respond to queries and signpost to relevant information
  • organise and coordinate large-scale meetings with senior external stakeholders and manage any logistical problems
  • maintain and update network systems through data management - CRM database and core communication/engagement channels
  • work closely with communication and Engagement Manager to promote and maintain an accurate record of member engagement activities and briefings and support the planning of webinars and member engagement sessions
  • provide diary support to the Network Director and Chair, manage the teams SharePoint site, activity tracker and other documents
  • organise internal and external meetings; assemble and distribute agendas and papers; keep an accurate record of meetings; arrange cost-effective travel and accommodation for the team and raise and manage purchase orders using the organisations finance system
  • provide ad hoc project and programme management support, and undertake research and report on findings, when required

  • be able to work to tight timescales and prioritise workload to manage conflicting priorities
