An opportunity has arisen for a HR Assistant to join our small but expanding HR team. Working within the HR team, you will have the opportunity to learn all aspects of the employee lifecycle, providing comprehensive, high quality support for Nottingham City General Practice Alliance.

Main duties of the job

This is an exciting opportunity to be part of and work alongside experienced HR professionals. The successful candidate will be required to effectively provide advice regarding the recruitment process to Practices, a well as undertake the administration involved in line with the Alliance's procedures and NHS recruitment guidelines. Proficiency in IT is essential as the post holder will be required to maintain the HR/Payroll database accurately. Additionally, they must have excellent administration, organisation and customer service skills as well as the ability to work accurately in a customer focused provision.

The post will be based within our Head Quarters on Upper Parliament Street in the centre of Nottingham, and will work closely with NCGPA's increasing number of Practices.

About us

Nottingham City General Practice Alliance (NCGPA) was formed in 2016. We are Nottingham City's first GP Federation, often referred to as NCGPA or the Alliance. Our members consist of NHS GP Practices in Nottingham City, who cover a population of over 336,000 patients.

As a federation, we promote, support, and facilitate the collaboration of GPs and their workforce throughout our city. Examples of our work to date include developing networks whereby tasks and resources can be shared, empowering frontline practice staff to become active sign posters for their patient communities and launching GP+, the city's first ever evening and weekend GP service.

Job description

Job responsibilities

  • To provide practical telephone, face to face and email advice and guidance on a range of HR policies, procedures, terms and conditions by asking colleagues for assistance or escalating to the HR Advisor or Head of HR as required.
  • Responding to emails and telephone queries, analysing, and using questioning to understand which policy is appropriate for use. Using tact and emotional intelligence to respond to individuals who may be angry, anxious, or upset. Communicating sensitive issues with empathy and understanding within the department.
  • Supporting the team to arrange training, meetings and hearings as requested, including diary management, and preparing packs and information as appropriate.
  • Ensuring HR systems are kept up to date with relevant information.
  • Supporting managers to accurately complete required paperwork for various HR processes, including Family Friendly leave and other types of leave through training and communication and making sure all required supporting documentation is validated and filed in line with policies and procedures.
  • Updating and ensuring employee personal files are maintained as per HR quality standards, ensuring documents are filed to their electronic file in a timely and accurate manner.
  • Leading on the recruitment processes at NCGPA by placing adverts and arranging interviews.
  • Coordinating reference requests and provision of contractual information for staff for reference requirements.
  • Undertaking Right to Work checks, DBS checks and qualification/professional registration checks to support recruitment.
  • Supporting the processing of leavers and ensuring exit interviews are undertaken and feedback is recorded to review turnover and the reasons for leaving.
  • Supporting the induction process for new employees and training them on HR systems.
  • Assisting the HR Advisor with payroll when required.
  • Undertaking HR projects as requested by the HR Advisor or the Head of HR.
