Job summary

We are looking to appoint a part time Receptionist (Service Support Officer) to join our Service Support Team. As part of this team, your core responsibilities will be front line reception duties and administrative tasks.

The service operates on a hub and spoke model. The Hub sessions will be based at the Angel Row premises and the spoke sessions will be based in the PCN localities. You will also be expected to provide bank cover, bank holidays and weekend cover when needed.

The shift pattern for the role is:

Monday: 3:30pm – 8:30pm @ Greenfield Medical Centre

Wednesday: 3:30pm – 8:30pm @ Beechdale Surgery

Friday: 3:30pm – 8:30pm @ Beechdale Surgery

Saturday: 9:30am – 2:30pm @ GP+ Hub

For this role we are seeking a motivated, enthusiastic and committed individual with a proven record of delivering exceptional customer service in a general practice environment. Great people skills and accuracy and attention to detail are key to this role.

About us

GP+ Nottingham City (often “GP+” for short) is the evening and weekend GP service for Nottingham city residents. It opened in April 2018. The first of its kind in Nottingham, the service offers appointments with GPs, practice nurses, clinical pharmacists, physiotherapists and stop smoking advisors at a single site location in Nottingham city centre. All patients registered at GP Practices in Nottingham city can use the service and its opening hours are 4-8pm Monday to Friday and 9am-1pm and 2-6pm on Saturday and Sunday.The service is funded by NHS Nottingham City Clinical Commissioning Group. The Care Quality Commission, who are the independent regulator of health and social care providers in England, carried out their first periodic inspection of the GP+ service in February 2019 and awarded it a “Good” rating. During the inspection the service was examined on five key categories. In the category ‘extent to which the services are responsive to patients’ needs’ the highest possible rating of “Outstanding” was awarded.

GP+ is a very responsive service. After recognising high demand for a stop smoking service in the city, we launched the Stub It! Stop Smoking Programme in September 2018. In its first six months of operation, the programme helped over 300 patients on their stop smoking journey and hit a 54% quit rate.

Job responsibilities

  • Meet and Greet service for patients, welcoming and directing to our services

  • Managing patient queries, concerns, comments and complaints
  • Answering telephone queries from GP practices and patients
  • Dealing with referrals from GP Practices
  • Managing the appointment system to ensure that all patients booked in are registered on the clinical system before their appointment
  • Ensuring that any required documentation and tasks are sent back to the patient’s practice after their appointments.
  • Ensuring that all clinician rooms are ready for their clinics, and that clinical trolleys are fully stocked
  • Checking in and out equipment needed by clinicians
  • Preparing the Clinical rooms before clinics commence and checking the rooms when clinics finish
  • Assisting in the booking of clinicians within the rotas on the appointment system
  • Assisting clinicians requiring chaperones for appointments
  • Booking translators as and when required
  • Signposting Patients to community services
  • Assisting patients with prescription requests
  • Keeping the reception area and waiting rooms tidy
  • Managing the presentation of information on the notice boards
  • Recording any significant events that take place during the shift, and reporting to management
  • Offering refreshments (tea/coffee etc) to clinicians
