Job summary

Job purpose:

The purpose of this role is to lead and manage the Hub service provision for Extended Hours provided by Primary Care Cheshire across West Cheshire, in order to support them and their staff to deliver an efficient and effective service.

In addition to providing generalist support, the post holder is responsible for managing the provision of specific administration hub services, ensuring allocation of work appropriately, for admin and clinical staff, creating KPI reports, liaising with PCNs and other 3rd parties e.g. Cheshire and Wirral Partnership (CWP) and Countess of Chester Hospital (COCH).

Main duties of the job

Key responsibilities and accountabilities:

1. Assist and develop the service in readiness for the go live date in October 2021.

2. Manage the day-to-day activity and responsibilities of the Hub.

3. Act as main contact point for all communications for the service Prioritise and distribute communications to the appropriate person or relevant department.

4. Establish and develop relationships with General Practice and PCN leads and with other partners.

5. Analyse and act on data collected by the Hub and produce any relevant reports to manage finances including paying of staff and hub sites.

6. To lead promotion and publicise the service in creative ways.

7. Carry out GP compliant checks.

8. Responsible for HR files

9. Update policies/ renew.

10. Taking stock of equipment and supplies.

11. Flexible working i.e. when/if GPs cancel- need to arrange cover etc.

Primary Care Cheshire Community Interest Company (CIC) was established in 2011. It is a social enterprise currently owned by 29 Western Cheshire GP practices. Initially, the organisation was established to provide a vehicle through which primary care providers (e.g. GPs) could compete against other healthcare providers for services. However, as the NHS landscape has shifted the organisation has been required to refine its strategy accordingly. The organisations focus has now been realigned in order to support primary care (i.e. GP membership) in its requirement to deliver both front and back-office transformational change. This is driven by national policy drivers that are encapsulated at a local level within NHS Cheshire Clinical Commissioning Groups Transformation Programme.

6. Attend relevant meetings as and when required and provide feedback on good practice examples to promote awareness and more efficient ways of working.

7. Analyse and act on data collected by the Hub and produce any relevant reports to manage finances including paying of staff and hub sites.

8. To represent the organisation at appropriate meetings and venues, including commissioner meetings as required and to work effectively with partners and stakeholders.

9. To lead promotion and publicise the service in creative ways.

10. Plan future developments within the service.

11. Manage and take responsibility of the online IG Toolkit.

12. Carry out GP compliant checks, i.e. GMC register, CQC Registration etc.

13. Responsible for HR files - Ensure staff are compliant with training certificates which are completed within their own individual practice. Obtain copies of data protection certificate for admin staff.

14. Update policies/ renew.

15. Taking stock of equipment and medical supplies.

16. Flexible working i.e. when/if GPs cancel- need to arrange cover, set new clinic up etc.
