Job summary

This post is located within UKHSA's Global Operations Division, led by the Director of Global Operations. Global Operations supports the delivery of UKHSA's Global Health Strategy. One of the biggest global programmes within the Global Operations is the International Health Regulations (IHR) Strengthening Project.

This exciting new position will play a critical role in the design and delivery of activities as the project expands its country and regional impacts. The post-holder will be supporting the IHR Project to fulfil and facilitate the IHR Projects objectives. This important role will involve being a key point of contact for many critical operational arrangements across the project, including visa applications, travel bookings, meeting coordination, procurement, and liaison with international stakeholders.

The UK Health Security Agency (UKHSA) offers hybrid working - this means that whilst the role will be based in Canary Wharf, there will be opportunities for an element of working from home.

The balance between home and workplace working is to be agreed with the line manager.

*Please be aware that this role can only be worked from within the UK and not overseas. Relocation expenses are not available.*

While the post will be based in London, occasional international travel may be required.

There are three vacancies available. This is a fixed term contract until 31/03/2025.

Main duties of the job

The job holder will be required to carry out the following responsibilities, activities and duties:

  • Provide operational and daily administrative support to the IHR Project Team.
  • Manage the diaries of the IHR Project Senior Leadership Team.
  • Manage confidential and sensitive material.
  • Organise various internal meetings, book meeting rooms, co-ordinate attendees' schedules, ensuring provision of refreshments.
  • Alert the IHR Team to urgent issues arising and take responsibility for approaching deadlines and operating an efficient bring forward system.
  • Maintain an efficient filing system and database.
  • Review all incoming mail, email, and telephone calls, responding to routine enquiries on behalf of the IHR Project central team.
  • Booking travel/accommodation for IHR staff deploying abroad including visas, arranging in country transport with other government departments, managing/processing expenses, and time carding.
  • Organisation of pre-departure training of UKHSA staff and briefing packs.
  • Handle HR issues for the team including recruitment and HR payroll returns.
