Job summary
At the United Kingdom Health Security Agency (UKHSA) our mission is to provide health security for the nation by protecting from infectious disease and external hazards. We are a trusted source of advice to government and to the public, focusing on reducing inequalities in the way different communities experience and are impacted by infectious disease, environmental hazards, and other threats to health.
There are two vacancies available. One of them is being offered on a full-time basis and one of them is part time, 15 hours/week (2 days) with a possibility to increase to 22.5 hours/week (3 days).
The main responsibilities for the full-time role will be rota co-ordination which will involve creating and managing the in hours and out of hours rosters for the Health Protection Team. The role holder will have daily oversight of the in hours rota to ensure appropriate levels of staffing are maintained at all times covering sickness or unexpected absence, and they will ensure timely update of changes to the out of hours rota. They will also ensure the national out of hours rota is completed to deadline.
As part of this role, the post holder will also provide day-to-day administrative support to the Directorate or senior management team. They will maintain effective working relationships with a variety of stakeholders both internal and external to the organisation.
Main duties of the job
The job holder will be required to carry out the following responsibilities, activities and duties:
- Creating, maintaining, and reviewing rotas to ensure appropriate staffing levels are maintained at all times (full time role only).
- Provide comprehensive administrative support to teams across the Directorate.
- Lead and act as a central coordinating point of contact for a range of business administration activities with delegated lead responsibility for certain corporate function processes. For example, reporting of sickness absence and preparing and submitting returns on behalf of the team as required.
- Communicate and engage effectively with a range of people, including internal and external staff and stakeholders. This will include dealing with stakeholder enquiries promptly and courteously by email, telephone, letter or in person, referring to the relevant lead where appropriate.
- Responsible for the organisation of meetings and events and production of reports, papers, minutes and updating action logs as required. This will include providing secretariat support to teams and other internal meetings and networks as required.
