Job summary
The Healthcare Safety Investigation Branch (HSIB) was formed in 2017 with the aim to improve patient safety across the healthcare sector by carrying out expert investigations to determine the causes of accidents and serious incidents, and to make safety recommendations intended to prevent recurrence and to improve safety across the healthcare system. Each year HSIB publishes approximately 30 new reports, following investigations into an incident or issue, and issue safety recommendations to a wide range of bodies and organisations.
The Health and Care Act 2022 established HSIB as the Health Services Safety Investigations Body (HSSIB), a fully independent arm's-length body from October 2023. The Act sets out some of the statutory duties of HSSIB which includes increased powers and the requirement for the formation of a Board.
As Board Administrator the post holder will work as part of a dynamic team to support the workings of the Board. The key responsibility of the post holder will be to provide administrative support in advance of, during and post board and sub-committee meetings
Main duties of the job
The post holder will prepare and publish meeting papers, using our software platform, minute meetings, provide efficient and effective administrative support to the Board and corporate team. This could include diary management, travel arrangements, document management, meeting organisation and correspondence management.

Planning & Organising
- Organise and manage documentation for Board and sub-Committee meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate.
- Ensure the Board members team have been briefed and have the required documentation for all meetings/events, issued via our software platform.
- Organise and produce reports, papers, presentations and other similar documentation in accordance with organisational timeframes.
- Organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers and providing relevant papers and Provide high quality support to ensure they are managed and delivered effectively.
- Support the management of activities, gathering information, updating documentation and undertaking enquiries as necessary for the activities
- Act as administrator of board management software platform.
- Proactively arrange all business travel and overnight accommodation for Board members, obtaining the highest quality for the most cost-effective price.
- Complete expense claims.
- Travel to the location of meetings across England where meetings are face-to-face. Travel requirement is expected to be 2-3 days month.
- Provide administrative support to the Finance and Performance Director and Head of Policy, Strategy and Engagement.
- Deputise for Business Manager to CEO & Chair on occasion.

- Assist with the setting up and management of effective business processes to facilitate the smooth running of the board.
- Develop and implement robust work processes and systems to ensure timely delivery against deadlines.
