Job summary
The Staffordshire and Stoke on Trent Contract Management Team has recently expanded to cover the community equipment service. This has previously been managed by the Local Authority.
The team are looking for an enthusiastic and capable individual to join the team on a fixed term basis to provide administrative support on this contract, maintain and manage the community equipment database and provide ad hoc support to the wider contract management team should capacity allow.

Main duties of the job
The primary duty of the post is to maintain and manage the TCES Databases across Staffordshire and Stoke on Trent. This includes adding new users to the system from across the clinical organisations in the area as well as supporting on administrative tasks linked to the system.
The post holder will provide business support to the contract management service and be responsible for dealing with commissioning-related contract management, issues and activities arising across the contract management service. The post holder will provide general corporate support and ensure all CSU governance and administrative processes are transacted appropriately and accurately at a local level.
The post holder will provide contract- related support, including contract queries and variations, checking consistency of information, letters, reports, maintaining accurate records.
The post holder will also provide direct admin support to the contracting service team e.g. minute taking, maintaining issues & risk logs, document management and filing, liaising with CCGs on meetings and priority agenda items. This role will support the Senior Contract Manager for the community equipment service and be part of a professional, high quality and effective and flexible team.

To support the Contracts Management Service & CCGs in the development, delivery and monitoring of provider contracts to deliver healthcare services.
To maintain and manage the TCES Databases across Staffordshire and Stoke on Trent.
To progress chase actions agreed in contract management meetings and registered on the risk and issues log.
To receive and progress contract variation requests through the contracts management process with appropriate CCG and contract manager lead and maintain recording of within the contract tracker.
To maintain a contracts register/ databaseensuring accuracy and timeliness. To work closely with the CMT and CCG colleagues to ensure that financial commitments, contractual obligations and risks are monitored and reported.
To ensure the maintenance of accurate and efficient filing systems, including both paper and computer systems ensuring strict confidentiality of information.
To maintain formal documents and records of contractual agreements and communications for audit purposes.
To take minutes of all relevant meetings including contract performance / CQRM meetings and prepare related documentation.
To arrange and organise meetings/workshops including booking venues and equipment
Support the Senior Business Support Officer in the development and maintenance of all business operational systems and processes.
To maintain standard business operational procedures for the Staffordshire contracting service to ensure that business continuity is sustained.
To recommend appropriate administrative systems to support all contract management activities. To ensure they are as efficient and effective as possible and liaise with IT to support the needs of the CMT.
To manage own and others electronic diaries as required. To deal with all telephone, mail, email and general enquires by prioritising and ensuring that appropriate messages are relayed or action is taken.
Ensure deadlines are met for the production of information to enable the completion of statutory/NHS returns.
To liaise with Providers and CCGs to ensure appropriate and timely responses to requests for meetings, information and documents
To prioritise workload as appropriate to meet the variation in demands and interruptions on the job holders workload
The postholder may be required to work flexibly, such as attending meetings or providing cover, across the entire Staffordshire Contracting Service
