Job summary
The team are looking
to recruit a skilled, experienced, and enthusiastic person to join the NECS
Governance team in the role of Governance Officer, Health & Safety/Fire and
Security (HSFS). The primary purpose of this role is to:

To be
actively engaged in the work programmes of the team across the full range of
work areas
•
Assisting
the Senior Governance Officer and Senior Governance Manager in all areas of the
work portfolio including Health and Safety, Fire Safety Management and Security
Management
•
To assist
in ensuring that the organisations implement appropriate Policies and Guidance
in relation to HSFS and other elements of the team's agenda
We offer hybrid working in this role
meaning that the successful candidate can work from a mixture of locations including
home, NECS offices and customer locations.
Main duties of the job
This role will be responsible
for:
Supporting the Senior Governance Manager and Senior Governance Officer
in ensuring the smooth running of the HSFS service provision to NECS and its
customers.
Providing efficient and effective support across the range of related
services.
Ensuring statutory compliance is met in relation
to HSFS.
Supporting processes for managing HSFS Risks and
identified actions.
Provide advice to NECS and its customers in
areas of noncompliance.
Compilation and updating of Risk Assessments, Audits, Policies and
Procedures for NECS and its customers
Providing advice around HSFS queries
Delivering training to NECS and its customers
around HSFS
Support the delivery of HSFS reports in line with
corporate calendars.

Job responsibilities
To support the Head Governance and Senior Governance
Managers in ensuring the smooth running of both CCG and NECS committees.
To provide efficient and effective senior administrative support
to the Governance assurance service across the range of corporate governance,
risk management and information governance functions to meet the needs of NECS
customers.
Development of corporate calendars for a range
of Council of Member meetings, Governing bodies and Committees ensuring accessible
venues, catering and other support such as giving notice of public meetings,
and publishing agenda papers on customer web sites
Compilation and updating of registers of
interests of Member Practices, governing body and committee members and CCG
staff, and making them publicly available, including chasing up late
returns with governing body members, managers and GPs.
Support to the FOI process (ensuring requests
are responded to within the standards within the Freedom of Information Act
2000), and supporting CCGs in the development and maintenance of their
Publication Schemes
Support to the records management function, including
administration of information asset registers and management of assets in
accordance with Records management legislation and the NHS Records management
code of practice
Supporting the risk register process including
progressing regular updating of risks and action follow up
Maintaining registers of decisions made at governing
bodies and committees as required.
Maintenance of Policy libraries and timely review of
policies in line with the Policy on Policies
Administrative support to “Policy horizon scanning
Administrative support for the sealing of documents and tender
opening procedures
Supporting the claims handling process and any litigation matters,
including liaison with the NHS Litigation Authority regarding insurance and
indemnity arrangements
Maintenance of Corporate record requirements and
Information Assets owned by the Governance and assurance department
Submission of information to national data systems within
the Health and safety function, in line with Health and safety legislation
Data collection processes and general support
to the EDHR function
To support the senior governance manager or the CCG nominated officer in organising
and administering Board and board sub committees
To prepare agendas and papers for Board Meetings and
associated sub committees, distributing Board and other subcommittee papers
in a timely manner.
To deal with telephone, e-mail and general enquiries in
relation to the Board and sub committees, ensuring that appropriate messages
are relayed or action is taken
Drafting and typing of correspondence and documents
relating to Board and sub committees
Support Head of Governance in maintaining the register of interest
and register of gifts and hospitality
Contribute to the
maintenance of a central filing system for Board papers and for Board sub
committees
To maintain up to date logs of papers discussed in the
Board and other sub committees
To ensure that papers for the Board and other sub
committees are posted on the appropriate web sites in a timely manner
