Job summary

Are you a self-motivated/enthusiastic/adaptable/Administrative Assistant? Are you looking for an exciting opportunity to provide a comprehensive, effective, and efficient administrative service to Senior Managers within our organisation?

Due to promotion, we are looking for an experienced Administrative Assistant to join the Corporate Admin team. The team of 20 staff offers an administrative service to Senior Managers. The role is diverse, and the priorities of the role can change quickly depending on developing situations so the ability to be both proactive and reactive is important. The Admin Assistant is a key role in ensuring that the needs of our Executive team and Senior Managers are met.

This role is fixed, and is based at the John Snow House, office in Durham.

The role will require the postholder to travel independently between sites to provide cover at other bases.

The Corporate Admin Team delivers an administrative service between the hours of 8.30am- 5.30pm Monday to Thursday and 8.30am- 5.00pm on Friday. This is a full-time post working 37.5 hours per week covering service delivery hours on a rota basis.

Main duties of the job

To arrange and attend meetings/events (internal and external) to accurately record and minute proceedings/decisions (training and support will be provided).

The postholder must demonstrate a flexible approach and be able to travel independently when required.

Deputise for Band 4 Administrative Officer when required.

Diary management.

Booking travel/accommodation and external events.

Ordering goods and services using an electronic ordering system (Oracle) and maintaining accurate records.

Excellent communication and interpersonal skills.

A good knowledge of the Microsoft Office Suite.

Ability to be self-directed, motivated and be able to contribute positively within a team.

The role will involve being well organised and structured.
