Job summary

Are you interested in working as an Administrator in General Practice? We have an exciting opportunity available for a Practice Administrator role within our Health Board Managed GP Practice working across two sites at Cymmer and Cwmafan.

This is a diverse role which includes a variety of administrative tasks to assist with the smooth running of Practice. The post holder will also be the first point of contact for reception services for patients and will act as a communication link between patients and the practice team.

This is permanent post - various hours available.

Main duties of the job

The receptionist is the gatekeeper of the Practice and will be required to converse daily with patients and other professionals via telephone and face-to-face therefore good communications skills are essential.

The post holder will be expected to:-

Maintain a working knowledge of the clinical system, this will include the operation of the appointment system i.e. times of all clinics, duration of appointments, health professional rotas.

Follow procedures for booking routine and urgent appointments, this will include acting as a call handler to gather a minimum dataset as in line with agreed protocols, including requests for home visits, clinical queries and dealing with emergency situations efficiently within the scope of the role.

Advise patients of relevant charges for non-NHS services, accept payment and issue receipts.

Explain practice arrangements and requirements for new and temporary patients and assist the registering of new patients and new patient checks.

Respond to all queries and requests for assistance from patients and other visitors to the practice as appropriate.

Responsible for ensuring the reception and waiting areas are clean, tidy and there are relevant up to date resources available for patients.

Direct patients in accessing the appropriate service or Health Care Professional in a courteous, efficient and effective way.
