Job summary

An opportunity has arisen to join the Occupational Therapy admin and clerical team in the Princess of Wales Hospital.

The post holder will act as main point of contact for staff and other professionals accessing the service.

The main purpose of the job is to provide secretarial support to the Deputy Head of Occupational Therapy, managing Acute and Rehabilitation Occupational Therapy Service. Provide a range of administration services, to help support the smooth running of the Occupational Therapy service, this includes specific secretarial support to the Occupational Therapy team.

The post holder will be responsible for keeping records up to date on personnel files for Occupational Therapy staff based in various sites.

Support the Occupational Therapy Co-ordinator and agreed work for qualified staff.

The post holder will support the Deputy Head of Occupational Therapy arranging and taking minutes of meetings, collating, analysing, filing and disseminating data and information, to ensure the efficient running of the service.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Main duties of the job

As a secretary for the O T department in the Acute and Rehabilitation service the post holder will plan an active role in the development and implementation of administrative processes for the department.

To support Head Occupational Therapists in collating and presenting capacity and demand data.

To support Head Occupational Therapist on information needs of department and changes to data collection.

To input patient and staff information on a computerised system and retrieve information in a timely manner. This includes devising spreadsheets and graphs in Excel for reporting and audit purpose.

To collate staff hours, making sure sickness returns are recorded and completed in a timely manner.

The post holder must support the Head Occupational Therapist in prioritising their workload as well as their own, according to service demands, ensuring all deadlines and targets are met.

Within the remit of the role will be the provision of accurate timely statistical data on a range of activities, as required by the Welsh Assembly Government, the Health Board, Manager and Senior Staff. This includes clinical audit data.
