Job summary

An amazing and very rewarding opportunity has arisen for a Project Officer to support the organisation's new Digital Transformation team. The role is a perfect introduction to the project management world in the exciting, and varied, environment of the NHS in Wales.

Working with all types and levels of NHS staff, the postholder will gain invaluable experience in all the NHS has to offer and will be part of team that delivers excellent outcomes for the benefit of patients and staff in Cwm Taf Morgannwg University Health Board (CTMUHB).

The successful candidate will work in as small, friendly and dedicated team of professionals whose whole ethics is based on collaboration and mutual support.

Under the direction of the Digital Portfolio Project Manager, the Project Officer will be responsible for ensuring the effective co-ordination of a range of projects that support the work of the Digital Transformation function. The post holder will support and provide day-to-day monitoring to facilitate the successful delivery of key national product implementations, for example; the, Welsh Patient Administration System (WPAS), Welsh Clinical Portal (WCP) and associated Digital projects forming part of the NHS Wales national digital strategy roadmap. Importantly this will include administration of the project artefacts and to help ensure that projects remain on track to produce the required outcomes, to the required standard of quality and within the specified constraints of time and cost

Main duties of the job

The main responsibility of the post holder is to provide high quality organisational, project and general administration to the Digital Transformation Team, including but not limited to; project administration, ordering equipment and services, excellent record keeping in line with project methodologies, supporting recruitment, knowledge management systems e.g. SharePoint and the maintenance of the team records e.g. training.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Planning and Design

Assist the Project Manager in the development of the overall project plan using project planning software.

Facilitate work stream project planning sessions and develop the resulting project plans.

Assist with the monitoring of progress against the plan, liaising with Project Team leads and other Digital Services colleagues to ensure that project tasks are delivered on time.

Supporting the updates to project plans to reflect changes agreed at Project Team meetings.

Provide day-to-day support for project/team activities such as planning, monitoring, change control, quality monitoring, risk and issue monitoring and management and project reporting.

Manage the Digital Transformation team diaries, making decisions on whether and when appointments are made, based on the issue and the workload.

Schedule and provide administrative support for project meetings, and other general meetings.

Prepare and type correspondence, reports, minutes and any other associated documents ensuring that work is produced in an accurate and timely manner.

Improvement and Monitoring

Research background information and undertake enquiries to support projects, including contacting other external organisations for information.

Be proactive in supporting projects by analysing project progress, identifying risks undertaking initial data analysis and where possible resolving problems to allow the projects to progress.

Communications

Communicate information which can be sensitive and contentious to staff across all levels including senior management and UHB representatives.

Adopt high levels of discretion in the management and retention of confidential/sensitive information regarding the change programme.

Assist in the development of presentations and written updates in order to communicate to project teams and staff groups.

Assist the Transformation Project Team and the wider Digital Services Team in developing reports for Project Boards and other meetings.

Participate in team meetings in order to update departmental staff on any project issues/progress.

Present project updates to staff groups across the organisation, demonstrating understanding and in depth knowledge of the key issues surrounding the project.

Handle project queries from staff directly or pass on to the most appropriate staff member.

Communicate with clarity to staff at all levels on aspects of the project to ensure that consistent and accurate information is available.

Develop strong working relationships with stakeholders and use influencing skills to enthuse and persuade staff to adopt changes.

Act as the first point of contact for all programme enquiries, making judgements on queries received by the department.

Excellent communication skills including the ability to produce a high standard of written work.

Management, Leadership and/or Training

Must be able to work autonomously and solve problems for own work area.

Digital and Information
