Job summary
Working in a pressurised environment to co-ordinate outpatient clinics, rescheduling of clinics, reduction and increase in outpatient clinics ensuring best utilisation of clinic slots.
Detailed knowledge of various outpatient speciality clinics in order to amend and cancel appointments, deal with significant number of telephone queries, advanced knowledge of clinic protocols with specified standards. Monitor and action waiting lists.
Actively using initiative in sometimes complex situations to ensure that patients are booked in line with local and national access targets, ensuring all clinic slots and templates are effectively utilised to maximise all available resources.
Work as part of a multi disciplinary team, working closely with clinicians and support staff to deliver the access targets and patient focused outpatient service.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
Main duties of the job
Interface with the public by means of telephone and face to face in a friendly and courteous manner. Be able to use judgement and initiative when dealing with difficult situations using empathy, tact and diplomacy.
Ability to multitask and maintain high levels of concentration and accuracy in an environment where interruptions are frequent and can be unpredictable. Responding to queries from patients and health care professionals in a professional manner.
Responsible for clinic diary ensuring availability of rooms for community and consultant clinics. Responsible for drawing up annual clinic plans.
Arrange clinic appointments for patients on the telephone, face to face and by letter ensuring patients are fully aware of any specific, essential instructions prior to their appointment.
Responsible for requesting / transferring and recording of case notes on the iFit database from different departments and locations when required. Ensuring that all relevant patient information is available in the notes prior to the clinic e.g. clinic letters, laboratory results.
On return of case notes from clinic check outcome sheets have been completed to ensure correct outcomes are recorded on WPAS ensuring that the patient has the correct treatment pathway.
Responsible for robust inputting and maintenance of patient information/ data held on the WPAS system for outpatient clinics and updating information as necessary. Ensure that data held on the system is accurate.
