Job summary

To provide a comprehensive high level, efficient, accurate and promptadministrative service to all stakeholders by assisting in the smooth running of the service.As a member of the Administration Team, a flexible approach to the post isessential to enable prioritising the different workloads and duties.Excellent communication and interpersonal skills are required to carry out dutieswith tact, diplomacy and sensitivity. Make sound decisions and judgementsusing initiative and level of authority as agreed with Line Manager.Knowledge and understanding of the structure, policies, management andoperational procedures within the department and the Health Board as requiredin order dealing with internal and external enquiries in a competent and confident manner.

Main duties of the job

Correct and accurate use of WPAS, including use of registration and outpatients screens.

Comply with agreed method of tracking case notes to ensure they can be found at any time.

Preparation of the daily session lists using appropriate computer system.

To maintain case notes in the department in good condition and repair damaged notes as and when required.

Compile case notes for new patient attendees at clinic.

Collect and distribute patient case notes or urgent items manually when required to and from other areas of the hospital. Retrieve and return hospital case notes from other departments within the hospital as and when requested by the medical staff.

Open and prioritise incoming mail ensuring distribution to the appropriate person.

Make appointments on WPAS system at designated times
