Job summary
Following significant investment into the service from Welsh Government, this is an exciting opportunity for a Senior Secretary to join the BCUHB Child and Adolescent Mental Health Services (CAMHS) Improvement and Transformation team. Working as part of the Team, the post holder be responsible for a full range of administration duties to the TI team and work stream leads. This is a regional post, based in the Central Area of North Wales.
We are looking for an enthusiastic team player, also able to work on their own initiative, the post holder will be a highly experienced administrator and able to communicate with staff at all levels. As a key member of the CAMHS Improvement and Transformation team the post holder will support the administrative function to ensure seamless support to the leadership team and work stream leads.
Schedules and arranges meetings including the compilation of agenda and the taking and transcribing of formal minutes.
Main duties of the job
First point of contact for the CAMHS Targeted Intervention and Improvement Team (TIIF) and wider team by telephone, e-mail, and correspondence or for visitors. Providing advice on a wide range of matters related to the work of the TIIF, resolving them or referring them to the most appropriate person during periods when they are absent from the office.
Manages the diary of the TI Leadership team, including the scheduling and rescheduling of appointments.
Provides a Senior Secretary role to the CAMHS Assistant Area Director, including diary management, arranging travel, arranging and rearranging meetings. Monitoring the Microsoft outlook email inbox daily, flagging up urgent issues and replying on behalf of when able / necessary. In times of absence deals with emails, replies on behalf of or forwards to relevant colleagues for action.
Responsible for arranging workshops, training events and large conferences with attendees from within BCUHB and external. Ensures the smooth running of all, booking speakers, booking venues internal and external, catering, arranging IT systems, co-ordinating presentations, design and production of programmes and flyers, promotion, registering of attendees, and feedback.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
