Job summary
How Aneurin Bevan University Health Board communicates with and responds to its key stakeholders and manages its corporate business is critical to the organisation in setting the tone at the top and this postholder will play a fundamental role in supporting the Chief Business Officer and Executive Business Manager to achieve that.
The postholder will provide comprehensive administrative support to the Corporate Business Team, whilst also providing an efficient and effective reception service at the Health Board's Headquarters.
Main duties of the job
The postholder will:
- provide an efficient and professional reception service at the Health Board's Headquarters;
- undertake general secretarial and administrative duties to support the Corporate Business Team, including photocopying, sending emails, scanning documents and arranging meetings and maintaining diaries;
- order and monitor stationery in order to maintain supplies, in accordance with the Health Board's procurement procedures and Standing Financial Instructions;
- receive, sort and record incoming mail onto a database, and to assist in sending outgoing mail;
- receive and redirect telephone calls promptly, accurately and confidentially;
- copy and circulate documents as required, including paperwork for Board, Executive Team and Committee meetings, ensuring timely distribution;
- develop, maintain and retrieve information from filing systems;
- prepare, draft and produce letters and reports from written and audio material; and
- oversee all Headquarters meeting room bookings, checking room availability, accepting booking requests, and ensuring room etiquette.
The postholder will be required, at times, to provide administrative support and cover across the wider Corporate Business and Corporate Governance Teams to ensure corporate requirements are always maintained.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
