Job summary

An exciting opportunity has arisen for a dedicated and enthusiastic individual, to join the Haematology Department at the Royal Gwent Hospital. The successful applicant will be able to demonstrate excellent secretarial, organisational and administrative skills.

The successful candidate will have the ability to work well as part of a team, be flexible to the needs of the service andable to demonstrate a commitment to achieving high quality standards of work. Excellent communication and interpersonal skills are required as you will liaise with staff and patients.

You will need to manage and priortise your own work load, pay attention to detail with excellent time management and keyboard skills together with experience of audio/copy/ digital dictation - G2 speech report and typing of correspondence clinic letters. A knowledge of medical terminology and secretarial procedures is also required with a desire to learn new ways of working and use initiative is necessary.

Main duties of the job

The role will involve supporting the wider administration team as a Team Secretary, plus covering the Medical Secretaries during leave. Additionally Responding to telephone enquiries, booking patients to clinics.

  • This post will involve providing a comprehensive, efficient and high-quality administration service and secretarial support to the department.
  • Office duties including; answering telephone calls, distribution of incoming and outgoing post, photocopying, filing, record keeping and communicating/circulating information to department members as required.
  • To book outpatient appointments as required
  • To be the first point of contact for the Haematology Department, requiring clear communication and liaison skills.
  • Advanced keyboard skills and competency in the use of a variety of software packages such as Microsoft 365 to product letters, agendas, reports, minutes and presentations as required.
  • To monitor and maintain general department requirements including office supplies, paying department bills by raising purchase orders using the ABUHB Oracle Procurement system.

  • Good standard of education to level of GSCE or NVQ or equivalent experience
  • Knowledge of secretarial / administrative procedures and systems, some of which are non-routine, and non-routine activities, acquired through experience and training to Vocational Level 3 or equivalent demonstrable experience
  • Advanced Keyboard skills
  • Audio Typing
  • Basic knowledge of medical terminology
