Job summary

A vacancy has arisen for an enthusiastic and hardworking individual to provide a comprehensive and effective secretarial support to a number of Surgical Specialities within Surgical Clinical Board.

Applicants should be proficient in Microsoft Office, including audio typing and will need to possess excellent secretarial and communication skills. It is essential that you are also able to prioritise workloads and work under your own initiative. Training will be provided on internal systems.

This post is fixed term/secondment for 12 months due to funding. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

The role of the Support Secretary is to provide a comprehensive secretarial and administrative support to a number of Surgical Specialities within Surgical Clinical Board

To follow departmental protocols and procedures for secretarial duties thereby ensuring a comprehensive secretarial service is provided to clinical staff within Surgical Clinical Board.

Carry out audio/copy typing duties using digital dictation software associated with clinical correspondence and other official correspondence adhering to the turnaround time.

To deal with telephone queries from patients, relatives and staff, undertaking appropriate action.

Ensure the safekeeping of case-notes and follow the departments' protocols regarding case-note tracking.

To enter patient details onto the patient management system (PMS) as necessary.

To adhere to UHB policies and procedures.

To initiate quality standards within the department and to participate in quality initiatives within the UHB.
