Job summary

If successful, you will provide efficient administrative services to the Contract Management team, managing email and telephone queries in a methodical way. Your role will also involve communicating confidently with internal and external contacts regularly including NHSBSA senior managers, external suppliers, and NHS customers.

You'll support the Contract Manager(s) by preparing vital correspondence, recognising the commercially sensitive nature of this information, and handling it appropriately. You'll have a keen attention to detail which will support your work using databases and Microsoft Excel, as well as other Microsoft packages. Main duties of the job

Responsibilities

  • Answering and responding to telephone and email enquiries appropriately. Dealing with enquiries from internal and external contacts appropriately which may contain sensitive and commercially confidential information.
  • Verifying and authorising registrations to access the NHS Prescriptions, Cards and Print (PCP) contract online ordering portal and answering related queries.
  • Assisting the Contract Manager in obtaining verification and authorisation of artwork for stock replenishment of products produced on the NHS Prescriptions, Cards and Print (PCP) contract
  • Undertaking the preparation of documents as requested including letters, reports, web documents and email correspondence, some of which may include commercially confidential information.
  • Planning, arranging and attending meetings and events as requested. This includes agenda co-ordination, minute taking and distribution of agendas and minutes, ensuring action points are recorded and followed up.
  • Booking of travel, accommodation and ordering of refreshments for meetings and reception of external visitors as appropriate.
  • General office duties such as photocopying and preparing information utilising relevant software applications where required and circulating documents.
