The PA will support both the Chief People Officer and Finance Director providing operational support and coordinating a range of activities across both the Directorates.
Main duties of the job
- Managing the CPO and Finance Director's diary; including coordinating and scheduling appointments and meetings, event management and booking and managing travel arrangements
- Co-ordinating and preparing meeting agendas and papers, minute taking, liaising with meeting attendees about their contributions to meetings and ensuring timely distribution of papers
- Preparing and checking documents and ensuring that their presentation meets NICE standards.
- Developing and managing electronic filing systems and archiving documents in line with Information Governance
- Developing and maintaining databases
- Responding to written and verbal enquiries from a range of internal and external contacts, ensuring these are handled appropriately and forwarded to the appropriate person.
- Uploading documents onto the intranet and website and ensuring that information is correct and up-to-date, and that the relevant tools are available for external users.
- Providing advice and guidance to internal teams and external stakeholders on enquiries relating to the work of the Directorates.
- Providing approved information for e-newsletters and other communication channels
- Monitoring and tracking the Director's expenses budget and escalating any discrepancies.
- Managing the payment of invoices.
- Arranging for the authorisation and purchase of items requested by the Director or Directorate senior managers.
- Contributing to budgetary planning.
- Contributing to the awarding and management of contracts.
