The PA will support both the Chief People Officer and Finance Director providing operational support and coordinating a range of activities across both the Directorates.

Main duties of the job

  • Managing the CPO and Finance Director's diary; including coordinating and scheduling appointments and meetings, event management and booking and managing travel arrangements
  • Co-ordinating and preparing meeting agendas and papers, minute taking, liaising with meeting attendees about their contributions to meetings and ensuring timely distribution of papers
  • Preparing and checking documents and ensuring that their presentation meets NICE standards.
  • Developing and managing electronic filing systems and archiving documents in line with Information Governance
  • Developing and maintaining databases
  • Responding to written and verbal enquiries from a range of internal and external contacts, ensuring these are handled appropriately and forwarded to the appropriate person.
  • Uploading documents onto the intranet and website and ensuring that information is correct and up-to-date, and that the relevant tools are available for external users.
  • Providing advice and guidance to internal teams and external stakeholders on enquiries relating to the work of the Directorates.
  • Providing approved information for e-newsletters and other communication channels
  • Monitoring and tracking the Director's expenses budget and escalating any discrepancies.
  • Managing the payment of invoices.
  • Arranging for the authorisation and purchase of items requested by the Director or Directorate senior managers.
  • Contributing to budgetary planning.
  • Contributing to the awarding and management of contracts.

  • Relevant first degree, basic professional qualification, NVQ Level 6, or equivalent qualification (eg non-English qualification) or equivalent level of knowledge acquired through experience and further training/development.

Experience

  • Experience of providing diary management and administrative support to senior members of staff.

Desirable
