Job summary

We are looking for an Information Governance / Records Manager to develop and implement information governance and records management processes and policies. In addition, they will be the operational lead for our Electronic Document Management system.

Main duties of the job

The postholder will provide leadership and expert advice and guidance relating to IG, Records Management and its application to the HFEA Act and the Authoritys work.

Job description

Job responsibilities

1. Continually improve information governance and records management policies and practices, liaising with internal and external stakeholders where necessary

2. Provide leadership, expert advice and guidance relating to IG and RM in relation to the HFEA Act and the Authoritys work.

3. Promote good records management within the HFEA by developing appropriate retention policies or records management frameworks and ensuring they are fully embedded across the organisation.

4. Ensure the HFEA is complaint with any external data protection standards or assessments such as the Data Security Protection Toolkit including the development and monitoring of any associated action plans.

5. Ensure the electronic records management system is supported effectively, available training meets business need and is universally adopted across the organisation. Be the designated system owner, providing super-user support for the system.

6. Work with all areas of the organisation to ensure Data Protection controls are appropriate and robust and our policies and procedures align to relevant legislation to include information asset management and Data Privacy Impact Assessments.

7. Where necessary, develop new policies and practices for storing and sharing information across the organisation.

8. Provide advice to HFEA staff and the board in relation to information governance and records management,

9. Ensure that all staff are aware and understand their responsibilities in respect of Data Protection and the confidentiality of person identifiable data or other confidential information

10. Support any investigations into complaints about Information Governance breaches relating to Information Security standards and Data Protection.

11. Work with the colleagues to ensure that our disclosure of information is compliant with data protection legislation and that we embed good practice across the organisation. To have oversight of Subject Access Requests, attend the Register Research Panel and risk champions meetings.

12. Work across the Information management team in formulating and being accountable for the achievement of team objectives.

Qualifications

Essential

  • Educated to degree level or equivalent

Desirable

  • Specialist training and/or knowledge of information management software, including cloud-based systems
  • Specialist knowledge of management of healthcare information and Caldicott Guardian principles

Experience

Essential

  • Good working knowledge of information governance and access legislation and policy, such as privacy impact assessments
  • Experience of establishing information governance and management policies and practices, in a public sector environment
  • Project management experience

Desirable

  • Knowledge of General Data Protection Regulation
  • Project management qualification

Managing work

Essential

  • Ability to work independently with self-motivation
  • Ability work across organisational functions and to champion information governance with colleagues
  • Confidence to liaise with and influence senior staff and board members where necessary
  • Ability to communicate clearly with a range of audiences
