Job Summary

Key Responsibilities

Operational Leadership

  • Oversee the day-to-day running of the clinical service, ensuring smooth delivery of appointments, clinics, and multidisciplinary activity.

  • Manage practice rotas, room allocations, stock control, and daily operational briefings.

  • Act as the central liaison between clinicians, administrative staff, and site management teams.

  • Maintain accurate site records, KPIs, and operational dashboards.

Compliance & Governance

  • Ensure compliance with CQC Fundamental Standards, NHS England Frameworks, Home Office security protocols, and DrPA policies.

  • Support incident reporting, complaints handling, audits, and quality improvement initiatives.

  • Maintain up-to-date site registers (training, risk, infection control, fire safety, and information governance).

  • Participate in CQC inspections and internal audits, ensuring required evidence is ready and available.

  • Supports delivery of site KPIs by ensuring operational efficiency, adherence to Home Office SLAs, and compliance with CQC and NHS quality standards including timely clinic delivery, rota fulfilment, and accurate performance reporting.

People Management

  • Line-manage administrative and support staff, conducting regular supervision, appraisals, and absence reviews.

  • Oversee staff onboarding, training compliance, and leave scheduling in collaboration with HR.

  • Promote equality, diversity, and inclusion across all practice operations.

  • Support the development of a positive, high-performance culture.

Financial & Resource Management

  • Work with the Finance team to monitor budgets, payroll submissions, and expenditure approvals.

  • Authorise timesheets, bank hours, and overtime within delegated limits.

  • Support procurement of medical and non-medical supplies in line with company policy.

  • Identify efficiency improvements and cost-saving measures without compromising quality or safety.

Clinical Support Coordination

  • Oversee patient scheduling, triage processes, and referral tracking systems.

  • Ensure clinical rooms and equipment are safe, stocked, and compliant.

  • Coordinate with multidisciplinary teams to maintain continuity of care.

  • Manage secure handling of medical records and data in line with GDPR and Caldicott principles.

Stakeholder Engagement

  • Act as the operational point of contact for partner agencies (e.g., NHS Trusts, HMPPS, Home Office, and Commissioners).

  • Participate in service review meetings and support the implementation of contractual KPIs and SLAs.

  • Represent DrPA professionally at internal and external forums.

Essential Criteria

  • Proven experience in a Practice Manager or Operational Management role within healthcare (primary care, secure setting, or similar regulated environment).

  • Strong understanding of CQC, NHS, and Information Governance requirements.

  • Demonstrable leadership and people-management skills.

  • Excellent organisational, communication, and problem-solving abilities.

  • Confident using clinical and administrative systems (e.g., EMIS, SystmOne, or equivalent).

  • Ability to maintain confidentiality and professional boundaries in a secure environment.

Desirable Criteria

  • Experience within a secure healthcare, prison, or immigration removal centre environment.

  • Knowledge of NHS commissioning, clinical governance, and rota management systems.

  • Recognised qualification in Leadership, Management, or Business Administration.

  • First Aid, Health & Safety, or Information Governance certification.
